Vistant, a Maryland-based firm that specializes in international development, advanced healthcare solutions, and mission support services supports USAID programs globally with in-country surge support to address political, developmental, and reconstruction needs through a five-year Middle East North Africa (MENA) blanket purchase agreement (BPA) to provide administrative, technical, and programmatic staff support services to field-based programs managed by USAID in the MENA region.
Vistant is seeking a Travel Specialist to support our international development team. This is a full-time remote position with the following key responsibilities:
- Support the Travel Team to ensure that all travel arrangements, documents, and document processes are compliant for the client and corporate.
- Create budget estimates for all domestic and international travel.
- Review and submit expense reports for processing.
- Provide clear communication to all customers on the travel process while maintaining a high standard of customer service.
- Responsible for maintaining physical and virtual document filing systems.
- Maintain lists and follow-up on all actions, be highly organized, pay close attention to detail, have excellent proofreading skills with a mastery of English grammar, and be able to handle multitasking well.
- Possess sound judgment and excellent interpersonal skills.
- Serve as the Travel SME for all aspects of USAID travel and allowance requirements.
Job Duties and Responsibilities
Travel Support:
- Prepare travel authorizations in accordance with the Agency's Travel Regulations. Obtain country clearances and assure appropriate accounting information is included on all Travel Authorizations (TAs). Coordinate with the traveler and with PMCG's travel agent to provide the travel with a travel authorization and ticket receipt.
- Assist travelers with the preparation, review, and submission of travel voucher packages.
- Establish and maintain effective and productive working relationships with administrative and financial personnel in USAID Missions, regional financial management service centers, USAID Travel Office, and the Agency's Security Offices to facilitate the timely processing of requests and resolution of problems encountered.
- Process visa applications and requests for renewals of Diplomatic and Official passports.
- Can submit complex Travel Authorizations with limited supervision with minimal mistakes.
- Understands the expense report process in Concur and can assist the client with submitting expense reports.
- Work with the Communications team based in the Middle East Regional Platform (MERP) on communications materials for internal and external audiences, including drafting social media posts, success stories, and fact sheets.
Administrative Support and Documentation System:
- Ensure the maintenance of hard and electronic files and assist in maintaining tracking systems for travel-related documents such as travel authorizations, vouchers, scanned passports, photos, medical evacuation policy information, etc.
- Provide reporting support, and prepare correspondence and documents.
- Maintain project physical files and "real-time" records of all current travelers and their itineraries.
Required Skills and Experience
- At least three years of relevant travel experience.
- Prior experience with USAID projects is highly desirable.
- Demonstrates an understanding of basic US Government travel policy.
- Demonstrates a strong grasp of Travel Processing Systems & Solution
- Demonstrates a deep understanding of Federal travel regulations.
- Ability to write memos, waivers, and other written communication clearly and with minimal grammatical mistakes.
- Is able to work in a fast-paced environment and meet tight deadlines.
- Stays abreast of all relevant USG, State Department, and USAID travel guidance and policies. The position requires the ability to work in high-pressure situations occasionally exceeding normal business hours.
- Must have strong verbal and written communication skills as well as the ability to work independently or in a team environment.
- Proficient in Excel and other MS Office programs.
- Excellent critical thinking and organizational skills
- Ability to multi-task in a fast-paced environment.
- Detail-oriented.
Security Clearance Requirements
Place of Performance
- Remote - Preferred candidate will reside in DC, Maryland, or Virginia and be able to attend period meetings at PMCG Washington, DC office.
Travel Requirements
