Who are we hiring?

The Senior Administrative Assistant position will provide executive level admin support to the SVP People Connection and the SVP Events & Celebrity Relations. In this position, the candidate is needed to multi-task with excellent communication skills and an upbeat attitude. The main functions of this role will be managing calendars, screening incoming phone calls and mail, processing expenses and procurement requests, as well as handling more complicated special projects such as coordinating event deliveries, creating data reports, routing contracts for approvals, and coordination of complex meetings or travel.

What will you do?

  • Schedules and maintains complex calendar of appointments, meetings, travel itineraries, and coordinates related arrangements. Anticipates and prepares meeting materials and reports along with any catering needs if necessary. Will support calendaring, travel arrangements for the extended team as needed.
  • Manages incoming requests. Tactfully handles inquiries and/or refers to appropriate party. Reviews and answers mail and inquiries on own initiative and determines if executives’ action is required. Refers routine matters to appropriate person for action and follows up to ensure completion.
  • Manages basic contracts, processes department invoices. Works with Accounts Payable and Finance to track and ensure that all payments are made.
  • Takes notes during staff meetings and follows through with team members on deliverables; assists with building agendas for multiple department meetings.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Independently gathers, compiles and analyzes information from multiple sources; prepares a variety of detailed reports. Composes routine and non-routine correspondence, memoranda, reports, etc.
  • Orders and maintains office supplies for the department. Ensures that office equipment works properly. Coordinates repair requests with facilities and/or outside vendors.
  • Assist with new hire onboarding by working with Technology, Office Services and People Practices ensuring that onboarding checklist is complete.
  • Acts as liaison between Executives and any direct reports, and internal and external contacts.
  • Assists department in special projects, including being available during events as needed.



What do you need to succeed?

  • Minimum 5 years’ experience, preferably at the executive management level.
  • Strong oral and written communication skills and ability to interact with all levels of management.
  • Proficient knowledge and experience of Microsoft Suite.
  • Proven logical skills, well organized, and detail oriented.
  • Ability to maintain highest degree of confidentiality and diplomacy in a fast-paced environment.
