Job Description:

An award-winning luxury Italian Natural Stone company is looking to onboard an Office Manager to their NYC team. This role is based in New York out of their flagship showroom in Soho working within the high-end Architecture and Design community in the NYC area while aligning with the Head Office in Italy.

Key Responsibilities:

Accounting, Financial Coordination and Invoice Management

  • Manage and organize accounting documents (invoices, receipts, and financial reports)
  • Liaise with the headquarters in Italy
  • Prepare documentation and provide support to the local accounting and tax advisory firm
  • Post J/L entries for all business transactions
  • Generate, review and distribute invoices to customers
  • Maintain detailed records of all issued invoices
  • Successfully address and resolve any discrepancies or issues related to invoicing and payments in a timely manner
  • Customer Interaction- Serve as a primary contact for customers regarding billing inquiries and payment issues
  • Reporting and Analysis- Prepare regular reports on invoicing and payment activities

Human Resources Admin

  • Assist with onboarding new employees on HR and attendance system
  • Maintain employee records and ensure compliance with local labor law deadlines

Logistic and Shipping

  • Manage relationships with shipping companies and handle customs documentation
  • Coordinate shipping activities to ensure timely delivery or products
  • Resolve any shipping and logistics issues promptly

Skills and Experience:

  • Bachelor's degree in Business Administration, Accounting or related field
  • 3-5 years of proven experience in office management, accounting or a similar role
  • Excellent organizational and multitasking abilities
  • Strong written, verbal and communication skills
  • Proficiency in Microsoft Office Suite and accounting software
  • Experience with Logistics is highly desirable
  • Familiarity with Italian (both language and business culture) is a plus
