Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.

PPFA, PPAF and PP Votes (collectively, “National Office”) seek an independent and detail-oriented self-starter as our Manager - Electoral & Accountability Campaigns (Manager) within the Organizing & Electoral Campaigns (OEC) department of the National Office. This job reports to the Senior Director, Electoral & Accountability Campaigns in OEC’s Campaigns Team.

Purpose:

  • The Manager will provide broad strategic and operational capacity and play a foundational role in supporting the work across the electoral and accountability programs, including but not limited to
     

○creating and managing project plans and resources,

○managing team communication workstreams,

○collaborating with team members on vendor and partner management, and resource centralization,

○budget and cash flow monitoring, and

○cross-divisional review chain processes for ballot initiative elections supported by PPFA and/or Action Fund, PPVotes’ independent expenditure (IE) programs, and the Action Fund’s accountability programs.

  • The Manager’s success relies on deep grounding in project management, rigorous attention to detail and the ability to identify individual issues and create systems as solutions.
     

Engagement:

  • Works closely with the Senior Director, Electoral & Accountability Campaigns and the Campaign Director, Electoral & Accountability Campaigns to identify priorities
  • Persuades internal and external stakeholders toward project completion. Fosters collaboration and resolves conflict.
  • Partners closely with the Office of General Counsel, Finance, Management Operations and other internal operational teams on review processes, budgeting, cash flow, contracts, and grants
  • Lead internal communications and tracking between national department stakeholders, and external partners and vendors around all paid tactics. Will be responsible for convening check-ins and debriefs as needed and assessing priorities based on input from the Senior Director
  • Attends internal or external meetings as requested by Senior Director
  • Attend and participate in all regular team- and department-wide meetings
     

Delivery:

  • Independently creates project plans and manages deliverables that are designed for easy use and to anticipate team needs.
  • Particularly adept at taking one-off tasks and systematizing them for electoral and accountability teams that are spread out across multiple departments and states
  • Establishes team tracking systems and document management systems to facilitate PP Votes’ independent expenditure work and/or ballot initiative elections supported by PPFA and/or Action Fund.
  • Manage internal campaign operations systems, vetting, and compliance requirements in collaboration with Finance and the Office of the General Counsel, including to ensure the appropriate reporting of tactics and spending to campaign finance regulatory authorities
  • Work closely with the Senior Director and Campaign Director around state program project management, ensuring that state plan owners stay on track with deliverables, deadlines, and documentation of progress for ballot initiative elections supported by PPFA and/or Action Fund, PPVotes’ independent expenditure (IE) programs, and the Action Fund’s accountability programs.
  • Produce and maintain a variety of slides, reports, summaries, spreadsheets, and other written documentation for different audiences.
  • Developing project schedules and workflows, identify impact moments, and opportunities for integration, and define workflow within the electoral and accountability work streams and in collaboration with cross divisional teams
  • Manage all the systems, files, and general team organization needs for the electoral and accountability workstreams
  • Set up debrief systems for various work streams and compile that knowledge into actionable lessons for future projects. Supporting cross-divisional/cross-workstream application of lessons learned from each campaign cycle. Shifts projects design in response.
  • Building out resources, systems, and processes to support the workstreams’ development and maintenance of institutional knowledge. Maintain the Intranet sites for the work streams as needed.
  • Provide administrative support for the team as a whole
     

Knowledge, Skills and Abilities (KSAs):

  • Minimum of 3 years relevant professional experience in electoral campaigns and project management
     

○Independent expenditure, non-profit operations, and paid communications experience preferred

  • Exceptional written and verbal communication and interpersonal skills.
     

○Will need to flex between modes of communication and presenting strategic and program information to variety of internal and external audiences including visual and verbal presentations, data analysis and charts, and narrative summaries

○Strong communicator who can show progress towards goals to varying audiences and through various channels

  • Adept at leveraging negotiation and diplomacy tactics while building and maintaining partnerships with teams and individuals and moving everyone toward progress.
     

○Must be able to motivate and lead teammates and colleagues who are not direct reports and across divisions and geographies

○Orientation toward developing authentic relationships with colleagues and partners built on trust, grace, and mutual responsibility

  • Self-starter with a high level of creative initiative.

  • Demonstrable experience with project management of cross-divisional projects involving multiple teams
     

○Impeccable organization and strong familiarity with project management software tools, methodologies, and best practices.

○Exceptional organizational skills; comfort putting in place systems to track and progress and hold teams accountable on several competing deliverables involving different groups of stakeholders

○Strong management skill set, including rigorous attention to detail, effective approach to communication, and ability to meet time-sensitive deadlines in a dynamic environment

○Aptitude for adhering to deadlines, guidelines, and procedures, paying attention to detail, and following through on action items

  • Able to adapt to rapidly evolving campaign priorities, maintain composure, and demonstrate impeccable judgment in the face of ambiguity, campaign crisis moments, or high-stress situations.
     

○A flexible and adaptive approach to working with colleagues and being able to respond to the needs of a fast-paced operation

○Flexibility to work occasional extended hours and weekends.

  • Discretion in handling sensitive or confidential information.

Location & Travel: This position can be based in our Washington DC office or be remote with expectation for travel to DC for periodic meetings and events. Domestic travel needs will range from 0-25% but will be limited to major peak moments and only based on public health safety protocols.

$75,000 - $80,000 a year
