The LMS Coordinator manages Spectrum’s learning management system, Spectrum Medical School powered by Docebo, and onboarding and compliance for Spectrum teams. This role ensures an exceptional user experience in Docebo by maintaining an intuitive and organized platform where learners can complete training as designed. The LMS Coordinator is an expert in front- and back-end requirements of the LMS and advises the L&D team in best practices for configuration to achieve organizational objectives. The role understands all aspects of the LMS to ensure learning content, curricula, and programs are maintained; this includes maintaining settings best practices, creating mandatory reporting, and managing users and courses. This team member will also collaborate closely with internal teams for user management and assist with L&D program administration as relates to Docebo. The LMS Coordinator also manages onboarding and compliance for L&D and People Operations, inclusive of logistics and administration. The role reports to the VP, Learning & Development and works closely with the VP, People Operations.
Responsibilities:
Docebo System Administration
- Owns Docebo system administration of the LMS, including user administration, reporting, system configuration, testing, notifications, skills module, and support for issue resolution
- Maintains process documents, checklists, and trackers of Docebo settings and content
- Collaborates with IT and People Operations for user management and troubleshooting
- Manages regular Docebo reports that measure training consumption, course satisfaction and effectiveness, and other critical business KPIs
- Initiates platform automation of settings, notifications, and content delivery
- Assists with onboarding new acquisitions and business teams to Docebo and collaborating with appropriate teams for go live and rollout training
- Continuously monitors and improves the user experience by utilizing the features of Docebo that best fit Spectrum business and learning objectives
- Monitors and researches for latest trends/ compliance laws/seminars to stay concurrent with ESG guidelines for training and learning
- Own the Docebo relationship with the account representatives to ensure optimize system functionality and utilization
Onboarding & Compliance
- Owns the pre-onboarding process and onboarding program logistics in collaboration with the greater Spectrum onboarding team
- Manages group assignments and enrollments to administer regular onboarding and compliance training in Docebo
- Uploads and maintains required onboarding and compliance course content according to department needs
- Manages reporting to ensure onboarding and compliance are completed as required
Internal Collaboration
- Proactively engage with the Spectrum IT team to maintain technical system connections to Docebo and solve end user support issues
- Partner with the People Operations team to maintain HRIS/people data and integrity and run onboarding and compliance
- Work together with the HR team to map Docebo curricula to skills by role to ensure learners can complete appropriate training to bridge their skill gaps
- Collaborate with SMEs to ensure all course content is displayed to users and maintained as expected
Desired Skills & Qualifications
- Bachelor’s Degree preferred, with a degree in Information / Instructional Technology or a related field
- 1-2 years’ experience in an HR systems-focused role, experience with LMS or other system implementations is a plus
- Familiarity and prior experience working with Docebo is preferred
- Prior experience working in PR or advertising agencies preferred
- Must be a proactive, self-starter with ability to think independently
- Strong aptitude for learning new systems, technology, and software as needed; HTML or CSS skills are a plus
- Meticulously organized, process-oriented with strong project management skills; ability to effectively prioritize, execute tasks, and handle multiple projects
- Be resourceful, finding optimization & automation opportunities to support the user experience
- Thinks holistically to establish a sustainable platform that supports wide-ranging business needs
- Collaborate with and provide customer service to internal teams of various technical knowledge
- Ability to manage relationships with internal stakeholders and external partners
- Impeccable attention to detail and data accuracy
- Ability to work in an entrepreneurial, changing environment with ease and control
- Strong digital, written, and verbal communication; ability to communicate in a well-organized and concise manner both in one-on-one and group settings
The anticipated salary range for this position will be $60,000-$75,000. Salary is based on job-related factors such as: years of relevant experience, qualifications and/or certifications. Spectrum reserves the right to modify this pay range at any given time.
