Position Summary:
The Human Resources Support Specialist is responsible for working closely with each People Operations team member to provide HR (Human Resources) support to the department. The Support Specialist will provide support in all areas including recruitment, onboarding, staff development, employee relations, rewards & recognition, and regulatory compliance.
The Support Specialist is expected to exercise initiative and good judgment in carrying out the required job duties with a high degree of autonomy. The Support Specialist is also expected to possess a thorough knowledge of office procedures and the ability to participate in identifying and addressing operational problems. The incumbent participates in special projects/project team(s), as assigned, to support department objectives. This position recommends process improvement and changes to the HR team to maintain efficient and accurate data management. This position will report directly to the Senior Vice President, Human Resources.
Essential Duties & Responsibilities:
This role will serve as general administrative support to the DocGo’s People Operations leadership, as required.
Assists and supports the Senior Vice President, Human Resources with both administrative and strategic responsibilities to include the following:
Contributes to department strategy through research of best practices in market and industry,
Interacts with senior level management team.
Calendar management, scheduling meetings, and creation of meeting agendas.
Assists with the creation and implementation of new initiatives such as Talent Management, Learning & Development, Compensation, and Total Rewards
Coordinates activities and initiatives with HR members from other entities and markets across our national Human Resources departments (People Operations, Talent Acquisition, Payroll & Benefits, etc.)
Efficiently supports the office of the SVP (Senior Vice President), Human Resources and is a liaison to numerous departments, enterprise-wide, to provide seamless day-to-day completion of tasks.
Responsible for complete calendar management for the SVP, Human Resources
Ability to handle highly confidential material/correspondence that involves senior management, company-wide, including, but not limited to company financials, executive compensation, succession plans, attorney-client privileged investigations/documents, and HR documents, etc.
Acts as note-taker in HR-related meetings to ensure that all parties receive accurate, real-time information.
Develops and implements surveys via tools such as Survey Monkey and Microsoft Forms to gather information, analytics, and useful data.
Coordinates and schedules off-sites (local and nationally) in all aspects (concept to execution - travel may be required)
Direct liaison to all HR-related leadership meetings, working closely with the national People Operations in preparing documents, developing resource support, and prep meetings.
Works closely with the corporate shared services division, and the SVP, to prepare the annual employee satisfaction and engagement surveys, present data, and action plan development.
Works closely with internal Compensation Committee team to maintain the annual fiscal compensation schedule/meetings (merit, equity & bonus)
Is a direct point of contact within the People Operations’ communication systems coordinating concerns and incidents that need to be routed to the appropriate HR Business Partner for follow-up.
Contributes to process-mapping and process improvement initiatives to ensure processes are efficient, effective, and easily understood.
Maintains organization charts and distributes them to the necessary parties.
Arranges details for corporate travel itineraries, agendas, and offsite meetings (local and national)
Follows up with any post-meeting tasks as required by the SVP or HR leadership.
Seamless management of administrative tasks (correspondence, follow-up, booking rooms, A/V, catering, etc.)
Sets up high level meetings with senior management that may include several different time zones.
Perform Ad-hoc tasks as requested (special projects, unplanned meetings, travel arrangements, catering orders, etc.).
Education & Experience:
High school diploma or equivalent required, bachelor's degree in human resources, Organizational Psychology, or similar field of study preferred
HR Certification (SHRM-CP, aPHR, etc.) preferred.
Recent experience as assistant to a senior executive-level position with the following demonstrated abilities:
Experience assisting high-profile internal and external executives.
Experience in handling a constantly changing calendar.
Coordinating meeting rooms/conference spaces and all logistical and AV support
Strong administrative skills for coordinating business events, meetings, social events, etc.
Knowledge and experience working in the healthcare industry.
Qualifications:
Individuals must be able to maintain confidentiality, work independently, demonstrate good judgement, self-discipline, and function effectively with minimal direction.
Organizational skills and utmost professionalism are required for this position as well as excellent verbal, written, and interpersonal communication skills.
Must have an interest and ability to serve others as one of the primary functions of their job.
Must have excellent attention to detail.
Must possess a strong ability to manage one’s own time, as well as others’ time to ensure that assignments are tracked and accomplished.
Be available on odd hours to perform urgent tasks or business needs (i.e., evenings and weekends)
Ability to be customer-service oriented.
Excellent organization, communication, and time management skills
Strong PC skills required: Outlook, Microsoft Office Suite, etc.
Flexible with workday start times as early as 8:30 a.m. The incumbent primarily works in an office environment, however, is expected to attend all Human Resources functions assigned; these functions may be outside of the office.
