Job Description

This position is responsible for planning and facilitating multiple statewide judicial education training for trial and appellate court judges for the Administrative Office of the Courts involving various projects and functions related to judicial training. The Administrative Office of the Courts (AOC) is housed within the Oklahoma Judicial Center along with the Supreme Court of Oklahoma, the Court of Criminal Appeals, and the Appellate Court Clerk’s office.

Responsibilities and Essential Functions:

  • Collaborate with the Supreme Court and Oklahoma Judicial Conference to develop, plan, and execute multi-day judicial education training, including site tours, contracting, room reservations, meeting space planning, catering, and all aspects of conference planning.
  • Establish and maintain working relationships with vendors and venues.
  • Plan event details including agendas, seating, catering, and audio-visual needs.
  • Recruit presenters with input from the Judicial Education Committee
  • Create a proposed event budget maintaining expenditures within the allowed budget.
  • Create and submit detailed requisitions for required services.
  • Maintain financial records of dues, registration fees, and expenditures and report to the Supreme Court and Judicial Conference following each event.
  • Working knowledge of event registration
  • Plan and secure event security
  • Oversee staff at events, assign duties, and provide general direction, addressing potential problems as they may arise.
  • Communicate and coordinate with presenters on their presentations and materials.
  • Create and send evaluation survey to participants and report survey results to the Judicial Conference and Supreme Court
  • Reconcile invoices following the event and submit them for payment.
  • Maintain accurate accounting of continuing judicial education hours earned by judges.
  • Distribute CLE Reports to individual judges bi-annually.

Knowledge, Skill, and Ability Requirements

  • Strong interpersonal skills required. Ability to interact professionally and appropriately with various stakeholders, including judges and Justices, hotel and venue personnel, AOC staff, attorneys, and the public. Must have a professional demeanor and strong work ethic.
  • Excellent oral and written communication skills, including proper grammar, spelling, punctuation, and arithmetic. Ability to compose correspondence, understand and relay complex information, and comprehend details and nuances.
  • Knowledge of administrative and office procedures. Strong computer skills, including Microsoft Office applications, and ability to use standard office equipment.
  • Ability to make complex decisions following established rules, policies, and procedures.
  • Ability to multi-task and adapt to changing priorities and duties.
  • Ability to maintain administrative, legal, and general records to prepare reports and answer questions from records.
  • Excellent organizational skills with an ability to work independently and schedule time to meet deadlines. Strong customer service focus, with the ability to be resourceful and proactive when issues arise.

Education and Experience Requirements:

  • Juris Doctor preferred.
  • 3+ years’ experience planning and executing events.
  • State government experience is beneficial.
  • Strong experience using Microsoft Office applications (MS Word, Outlook, Excel, Teams).
  • Experience scheduling and managing meetings involving internal and external participants (in-person and via videoconference)
  • Experience operating various types of office equipment (copier/printer, postage machine)
  • Knowledge and experience using conference applications.
