The Administrative Assistant is responsible for administrative support for departments including construction and service, and maintenance. This position focuses on reconciling invoices and accurate documentation before payout. This position is responsible for verifying vendor qualifications and fostering relationships with vendor accounts. This role would be part time hours. Monday- Friday, 6 hours a day, totaling 30 hours weekly.

Essential Job Functions
- Coordinates and sends out executed contracts.
- Manages invoices by processing a high volume of invoices, reconciling invoices to contracts, and ensuring all invoices have the proper support and authorization.
- Office administration including filing, scanning, and data entry.
- Reconciles vendor accounts.
- Establishes and fosters vendor relationships.
- Assists with verifying vendor qualifications and insurance requirements.
- Tracks preliminary notices from all subcontractors and material suppliers.
- Researches accounts payable issues and troubleshoots problems as needed.
- Performs month end reconciliations.
- Other duties as assigned.
Education, Experience And Skills
- Minimum 3- 5 years’ experience with high volume, fast paced payables environment.
- Experience in the construction industry.
- High school diploma or equivalent.
- Construction knowledge in accounts payable.
- Working knowledge of computerized Accounts Payable System.
- Knowledge of Schedule of Value Projects.
- General knowledge of contracts. Preliminary notices and lien releases.
- Self-starter and able to work in a fast-paced, team-oriented environment.
- Demonstrates strong verbal and written communication skills.
- Demonstrates strong data entry skills with accuracy.
- Ability to multi-task, have strong attention to detail, and time management skills to ensure all established deadlines are achieved.
- Strong organization and time management skills.
- Proficient with computers and familiar with Microsoft Software Suite.
- Able to identify a need, remove the barriers, and has the know how to make things happen.
- Values diversity of ideas, opinions, and people. Has good common sense and applied logic.
- Must possess or be able to obtain appropriate state driver license prior to employment, along with a clean driving record and reliable transportation.
