Job Description:

The Program Coordinator, Duke Climate Commitment (DCC), supports the development, coordination, and implementation of administrative and fundraising activity of one or more pan- university campaign priorities with ambitious fundraising goals ranging from $500M to $1B by the end of the campaign.

 

 

In partnership with the Director of Development and Associate Vice President of Strategic Initiatives, the Program Coordinator will plan and coordinate activities driving donor identification, cultivation, solicitation, and stewardship efforts. The position will collaborate with partners across campus on events and special projects in support of the Duke Climate Commitment (DCC). The Program Coordinator will coordinate and support emerging volunteer structures associated with DCC and related programming and will liaise with a broad community of advancement, academic, and administrative teams in support of DCC engagement and development goals.

 

 

The Program Coordinator will be well organized and detail-oriented, have strong communication and project management skills, and actively contribute to the development and management of administrative systems and data collection/dissemination.

 

 

The Program Coordinator will report directly to the Development Director, Duke Climate Commitment.

 

 

Project Management

  • Coordinate communications, events, and other activities in support of the Development Director, DCC
  • Coordinate projects for the Strategic Initiatives and Campaigns teams in support of: Duke Alumni Engagement and Development (AED); undergraduate, graduate, and professional schools; and pan-university campaign priority areas
  • Coordinate and contribute to planning and strategy meetings with development and/or academic leadership, including the Offices of the Provost and President
  • Prepare reports and analyses setting forth progress on fundraising goals, faculty hiring, and impact to goals to assist AVP and/or Director of Development
  • Create and maintain proposal and solicitation tracking system in accordance with prospect management practices and procedures
  • Track and enter data in donor database for AVPs and Directors of Development. Utilize prospect management tools and best practices to regularly clean and ensure data integrity
    • Design, plan, and coordinate special events and donor activities as they relate to DCC designed to:
    • Build awareness of this pan-university campaign priority within the Duke community
    • Feature faculty, faculty research, and or student programs that appropriately align with campaign priorities
    • Showcase DCC as part of Duke University’s comprehensive fundraising campaign

 

Content and Program Communications

  • Organize, coordinate, and distribute updates on DCC campaign priorities to the AED and university-wide advancement community
  • Draft correspondence (internal and external) on behalf of Strategic Initiatives and the DCC
  • Manage the design and distribution of appropriate materials for use by development, alumni engagement, and communications staff relative to DCC campaign priorities
  • In coordination with AED Marketing and Communications, create development and alumni communications content as well as marketing and branding pieces for pan- university campaign priorities designed to build awareness, increase engagement, and inspire commitment to philanthropic support

 

 

DCC Campaign Liaison

  • In partnership with the Director of Development, serve as a liaison to frontline professionals in Alumni Engagement and Development and across all of Duke’s ten schools in support of assigned pan university campaign priorities
  • Meet regularly with the AVP of Strategic Initiatives and Director of Development, DCC to determine, monitor, and assess fundraising priorities, projects, and proposals in support of assigned pan-university campaign priorities
    • In partnership with the Director of Development, DCC, proactively communicate new and emerging gift opportunities to frontline fundraising teams
    • In partnership with Directors of Development, DCC, assess donor proposals intended to support pan-university campaign goals to ensure alignment with programmatic and financial priorities
    • Provide guidance and documentation to frontline professionals regarding pan-university campaign giving priorities and counting policies
  • Maintain interface with administrators throughout Duke to coordinate participation in selected events; maintain liaison with other University offices and external individuals and organizations to coordinate necessary arrangements for programs and events.

 

 

Development Board Support

  • Provide support to volunteer and advisory boards associated with the Duke Climate Commitment and related programs, including the onboarding of new membership, development of agendas, and coordination of special events
  • Develop campaign plan for DCC Campaign Advocates Board, in collaboration with the AVP Strategic Initiatives, the Director of Development DCC, and Director of Campaign Engagement
  • Partner with Director of Development to develop strategy and volunteer engagement opportunities that support DCC and related programs

 

Stewardship Planning and Coordination

  • Design, coordinate, and deliver bespoke DCC stewardship activities such as customized reports and communications from leadership
    • With the AVPs and Directors of Development, manage the crafting and delivery of stewardship plans for DCC campaign priority donors
    • Serve as liaison to the Office of the Provost and/or Office of the President to track use of expendable gifts and coordinate the process for generating annual stewardship reports
    • Coordinate with Donor Relations the drafting of individual stewardship reports for pan-university priority donors

Preferred Experience

Three years of progressively responsible experience, preferably in an academic environment.

Knowledge of fundraising strongly preferred.

 

 

Minimum Qualifications

 

 

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

 

Experience

 

 

Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
