About The Role

We are seeking a Program Coordinator to join our dynamic team. In this role, you will closely collaborate with the Program Manager and the Client to ensure a seamless program. As an extension of the Program Manager, you will provide administrative support throughout the program life cycle, supporting meetings & events in both NORAM and EMEIA (Europe, the Middle East, Africa & India).

As a Program Coordinator You Will
 

  • Support the Program Manager with event supplier research, proposal preparation, budget templates. Embrace a team player mentality as Client and BCD adopt an “All hands-on deck” approach when implementing a program.
  • Manage attendee information and prepare event reports (rooming lists, attendee lists, etc.).Create name badges, communication templates, tent cards, luggage tags, invitation templates, and handle packing, shipping, and tracking of meeting materials in the office
  • Utilize Cvent for editing registration websites, sending invitations, attendee list management, reports, hotel and ground transportation coordination, event reporting, and survey creation.
  • Coordinate and reserve restaurants, ground transportation, entertainment, etc. as directed by the program manager.
  • Monitor and respond to requests in functional event mailboxes and provide administrative support at the client office, including maintaining file share, program files, and general working documents as requested by the program manager.
  • Coordinate vendor creation files, purchase orders, and payments, and process event supplier contracts.
  • Ensure a positive and memorable experience for clients, attendees, and staff from invitation stage to departure.

  • Managing multiple priorities and adapting to changing circumstances. Exceptional problem-solving skills and ability to remain calm under pressure.
  • Collaborating effectively within a team.
  • Utilizing Cvent and Microsoft Office Suite.
  • Providing exceptional customer service and going above and beyond to ensure a positive attendee experience.
     

You Might Also Have
 

  • Ideally, 2 years of similar experience. Recent experience working in Cvent attendee management and/or web development.
     

You Should Know
 

  • This role is hybrid and operates in the EST time zone (Office located in Midland, Michigan). Hours for this position is 6 AM - 3 PM Eastern Time. This is non-negotiable.
  • Up to 10% travel is required, included possible travel to EMEAI (Europe, the Middle East, Africa & India); valid US Passport required.
  • Covid vaccination may be required for this role.

We carefully consider a wide range of compensation factors, including your professional background and experience. The annual pay range for candidates in applicable jurisdictions in the US for the position of Meeting Coordintor is between $45,000 - $60,000/year. The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
