Summary
DivcoWest is seeking a dynamic, organized professional to join our commercial property management team working at The Quad—one of three campuses in The Sand Hill Collection (SHC) in Menlo Park (https://sandhillcollection.com/). The Hospitality & Tenant Coordinator (HTC) position requires a warm, hospitable and outgoing personality as the gatekeeper in creating an illustrious office space while also being responsible for elevating the tenant experience through a variety of services, programs, and events. The HTC also supports The Quad campus with administrative and operational responsibilities.
The HTC reports to the Property Manager, however, also closely collaborates with the General Manager and Brand Experience Associate Director.
This role requires 5 days in office at our Menlo Park, CA location.

Responsibilities
Hospitality / Office Concierge:
· Welcome tenants, VIP guests and executives in a professional, courteous, helpful manner.
· Ensure the office is VIP ready by keeping office supplies and breakroom areas clean and well stocked, and office equipment maintained.
· Screen and/or forwards calls to appropriate staff.
Facilities Management:
· Dispatch tenant service calls to the appropriate service provider and enters requests into the work order system.
· Liaise with tenants for any tenant related issues.
· Plan and coordinate tenant relations programs and events.
· Draft and administer vendor agreements for tenant relations programs and events.
Property Administration:
· Process invoices and tenant billbacks through accounts payable system and other financial duties as directed.
· Produce vendor repair agreements and supervises vendors as requested.
· Review and manages certificates of insurance for vendors and tenants.
· Organize and maintains property information.
· Maintain Environmental Social Governance (ESG) information in Measurabl (reporting program).
Qualifications
· 4-year college degree preferred with at least 3 years of administrative, hospitality or tenant services/customer relations experience.
· Strong people skills and a passion for hospitality and customer service.
· Ability to work independently, manage time and prioritize workload in an environment where interruptions and disruption are part of the job.
· Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
The person in this position must be able to:
· Remain in a stationary position for 75% of the time working on a computer and attending virtual meetings.
· Occasionally move about the office to access file cabinets, office technology, and attend meetings etc.
Compensation
· $70,000-$85,000
· Annual bonus opportunity
