Job Description:
We are seeking a highly organized and motivated Virtual Assistant to provide comprehensive support to various state government agencies. The ideal candidate will possess strong communication skills, attention to detail, and a commitment to public service. This position requires the ability to manage multiple tasks efficiently while maintaining professionalism in a fast-paced environment. Key Responsibilities: • Assist state government agencies with administrative tasks, including scheduling meetings, managing calendars, and coordinating events. • Prepare and organize documents, reports, and presentations as needed. • Respond to inquiries from the public and agency staff via email, phone, or virtual meetings, ensuring timely and accurate communication. • Maintain and update databases and filing systems, ensuring all information is current and easily accessible. • Conduct research and gather information to support projects and initiatives undertaken by the agencies. • Assist in the preparation of meeting agendas, minutes, and follow-up actions. • Collaborate with team members and agency personnel to facilitate effective communication and workflow. • Utilize various software applications and tools to streamline processes and enhance productivity. • Adhere to confidentiality and data protection policies in handling sensitive information. Qualifications: • High school diploma or equivalent required; associate's or bachelor's degree in a relevant field preferred. • Proven experience as a virtual assistant or in a similar administrative role, preferably within a governmental or public service setting. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Microsoft Teams). • Exceptional organizational skills and the ability to manage time effectively. • Strong written and verbal communication skills. • Detail-oriented with a proactive approach to problem-solving. • Ability to work independently and as part of a team in a virtual environment. Working Conditions: • This is a remote position with flexible hours; however, the candidate must be available during standard business hours to accommodate agency needs.
