Job Description:

We are looking for a Staffing/Office Manager for a busy Healthcare Staffing Agency. We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high organizational effectiveness, communication, and safety levels. Your job will require managing our current internal staff.

Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, and general administrative support to our employees. A successful Office Manager should also have experience with various office software (email tools, spreadsheets, and databases) and handle administrative duties accurately. Previous experience as an OfficeAdministratorwould is an advantage.

Responsibilities

  • Serve as the point person for office manager duties including but not limited to:
  • Mailing
  • Supplies
  • Errands
  • Schedule meetings and appointments
  • Order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Partner with HR to update and maintain office policies as necessary
  • Organize office operations and procedures
  • Manage office G&A budget, ensure accurate and timely reporting
  • Assist in the onboarding process for internal new hires
  • Address employee's queries regarding office management issues (e.g., stationery, Hardware, and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Plan in-house or off-site activities, like parties, celebrations, and conferences
  • Enforce Company rules and regulations for internal and external staff.
  • Manage Our staff and ensure goals are reached
  • Develop helpful resources to ensure goals and rules are enforced.
  • Implement rewards and recognition for our staff
  • You will manage an organization of Staffing Team Leads

Additional Responsibilities

  • Creates a vision, based upon data, for a team/business and develops scalable strategies that capture the best talent and most diverse candidates at the lowest cost per hire and cost per employee
  • Evolves and implements labor acquisition strategies inclusive of employee class recommendations, labor pool utilization, talent pool conversion, and other channel resources across different businesses
  • Manages the analyses of daily, weekly, and monthly reporting of Workforce Staffing performance via Key Performance Indicators
  • Develops and maintains relationships with both internal and external staff to build long-term Relationships
  • Forecast labor demand plans and create scalable staffing strategies to build infrastructure and ensure team resource capabilities meet business demand
  • Evolves and implements strategies based on consistently changing needs of the business by tracking hiring event schedules and forecasted attendance rates
  • Leads and drives projects of increasing scale and complexity and manages programs through the completion
  • Owns training, development, team culture, and morale for Workforce Staffing Team
  • Staffing Managers will work with Staffing team members and partners across varying shifts to include evenings and weekends in multiple sites

Requirements

  • Master’s degree or MBA preferred
  • 5+ years of experience in a fast-paced, customer-oriented environment, such as operations, administrative support, customer service, retail, hospitality, staffing, recruiting, human resources, or another related field
  • 2+ years of experience managing hourly and salary employees
  • Experience with Applicant Tracking Systems or other tracking and reporting systems like Salesforce
  • Exceptional analytical skills, comfortable working with large amounts of data and communicating data findings, experience establishing and tracking key performance metrics, including return on investment
  • Cross-functional project management experience
  • Ability to work successfully in a dynamic, fast-paced environment
