Position Overview:

 

Headline Inc. is seeking a highly skilled and dedicated Special Event / Festival Manager to join our team. As an Event Manager, you will play a pivotal role in overseeing and executing a wide range of festival and events. You will also be responsible for managing our bar program, providing concessions services to large-scale events. This is an exciting opportunity for an experienced professional to lead and contribute to the success of diverse projects in the event industry.

 

Responsibilities:

 

Event Oversight: Handle a variety of events, including festivals, concerts, and large-scale productions, primarily conducted outdoors. Manage and oversee the entire event process for clients, from conception to execution, ensuring each event aligns with our high standards and exceeds client expectations.

 

Collaboration: Work closely with internal teams, clients, and vendors to ensure effective communication and coordination in all aspects of event planning and execution.

 

Inventory Management and Warehouse Organization: Oversee the management of event inventory, ensuring all equipment and materials are properly accounted for, maintained, and readily available. Implement and maintain an organized warehouse system to streamline inventory tracking and reduce setup times.

 

Process Development and Execution: Develop, implement, and refine event processes to enhance efficiency and effectiveness. Ensure all team members are trained in these processes and adhere to them consistently.

 

Vendor Coordination: Identify, negotiate with, and manage relationships with vendors to secure the best services and prices. Ensure timely delivery and quality of all vendor-provided services and products.

 

Budgeting and Quoting: Create, manage, and adhere to event budgets. Monitor expenses and implement cost-saving measures without compromising the quality of events. Send out quotes to clients and vendors to ensure transparency and accuracy in financial planning. Provide detailed financial reports and forecasts to stakeholders.

 

Logistics Management: Plan and manage all logistical aspects of events, including transportation, setup, and teardown. Ensure all logistical elements are executed flawlessly and efficiently.

 

Risk Management: Identify potential risks and develop mitigation strategies. Ensure all events comply with safety regulations and industry standards, and that appropriate insurance coverage is in place.

 

Client Relationship Management: Serve as the primary point of contact for clients, addressing their needs and concerns promptly. Build and maintain strong relationships to foster repeat business and positive referrals.

 

Proposal Development: Work on creating comprehensive proposals for clients, detailing event concepts, logistics, budgets, and other key elements to secure new business and ensure client satisfaction.

 

Post-Event Analysis: Conduct thorough post-event evaluations to assess what went well and identify areas for improvement. Compile and present detailed reports on event outcomes to clients and internal teams.

 

Requirements:

 

  • Proven experience in event management, with a focus on concessions program leadership.
  • Exceptional organizational and multitasking skills to handle multiple events simultaneously.
  • Strong communication and interpersonal skills for effective collaboration with team members, clients, and vendors.
  • Flexibility to work long and varied hours, including evenings, weekends and some holidays, as dictated by event schedules.
  • Willingness to travel for events, including some out-of-state travel.
