Job Description:

Growing property management firm in Boston is looking for a motivated team player to join our company as a full-time property manager. Day-to-Day operations include involvement in areas of tenant and owner relations, tenant complaint and service requests, turnover and leasing paperwork, accounting of routine and emergency maintenance and repair, as well as general support and assistance in the management of our residential real estate portfolio. Duties will include:

  • The Property Manager must provide leadership “in charge” responsibilities for the property portfolio. Excellent verbal and written communication skills required. Attention to details while also being able to multitask with various tenants, vendors, staff, etc. These responsibilities include but are not limited to full administrative tasks, managing, and delegating maintenance staff and contractors as well as provide excellent tenant and owner correspondence and overall service.
  • Become proficient with Appfolio- the current property management software in use. Enter in all property and contact information for newly incoming tenants into the software program. Ensure current owner/ resident info, contracts, files, contracts, and proof of insurance are properly maintained and onboarded into the software and kept up to date in accordance with company, state and federal policies. Prepare and maintain appropriate tenant lease files, records, security deposit accounts and related documentation.
  • Ensure properties are rented to their fullest capacity by communicating with local agents and rental offices about upcoming availability and vacancies. Generate online marketing and advertising to attract new tenants and pre-screen all new applicants before leases are generated. Negotiate leases and collect all initial move in funds. Generate renewal paperwork for all renewing units.
  • Coordinate new tenant move-ins and provide an introduction letter regarding emergency and non-emergency contacts, rental insurance requirements, rent collection procedures, keys or entry instructions and maintenance request procedures.
  • Respond to tenant requests/problems in a timely and courteous manner and instruct them to generate work orders directed to maintenance staff via their online portal. Follow up with the tenant and maintenance staff may be necessary to ensure satisfactory resolution of the issue.
  • Ensure that there is 24 hour emergency coverage for the properties via the answering service on a rotating schedule per month basis. All staff members share this monthly responsibility.
  • Coordinate production and ordering of property related signage, keys, tenant IDs, parking passes, etc.
  • Conduct periodic inspections of the properties to ensure compliance with leases, building rules and regulations, as well as the proper upkeep of the properties (typically on a quarterly basis).
  • Coordinate with contractors and maintenance manager for all routine, preventative, and emergency projects. Larger jobs may require obtaining estimates and bids from several vendors before execution. Periodic site visits may be necessary to represent the company during insurance inspections, owner walk-throughs, meetings with city officials, and community meetings.
  • Coordinate with maintenance staff to ensure that all properties turning over are inspected between tenants and all security deposit related deductions are properly documented with photos, inspection reports, etc.
  • Investigate cost reduction opportunities and communicate with upper management and owners accordingly. Work with accountant to set up weekly auditing of labor hours and overall maintenance costs/ labor. Work with maintenance manager to provide maximum efficiency and minimal costs to owners.

Requirements:

· 3+ years Real Estate Industry knowledge.

· Proficient in Quick solutions and problem solving in the field.

· Knowledge of or exposure to Appfolio, Rent Manager or other property management software desired.

· Must be self-motivated, work autonomously, a quick-learner and a team player on group tasks.

· Must have active Driver License and reliable vehicle

Job Type: Full-time

Pay: $50,000.00 - $70,000.00 per year
