Position Description: The Coral Gables Community Foundation seeks a full-time Office & Marketing Coordinator to provide support to the President & CEO and the organization overall including, but not limited to, administrative office and marketing functions. This role requires excellent interpersonal skills and attention to detail, and an organized and timely individual who can multi-task and enjoys working in a fast-paced, yet intimate environment.

This is an on-site position, Monday through Friday from 9am to 5pm. The candidate must be able to work flexible hours as needed for special events including mornings and evenings.

Office Coordinator Responsibilities:

· Provide administrative assistance to the President & CEO and the office in general

· Maintains courteous and professional interactions with Community Foundation constituents – Board Members, donors, fundholders, media partners and vendors

· Answer office phone and assist callers in a courteous and professional manner

· Maintain the Community Foundation’s digital contact database

  • Learn the organization’s CRM system to understand and provide support of the donor management system including consistent and accurate data entry. Maintain quality control and high levels of accuracy on data entry.

· Assist the President & CEO with calendar and meeting management

· Document all Board meeting minutes

  • Lead all administrative details associated with meetings (i.e. prepare and distribute notices, agendas, refreshments, etc.).

· Assist with general office duties including ordering office supplies and maintaining inventory

· Assist with all event and meeting preparation, logistics and on-site support

· Manage the Community Foundation’s Commemorative Bench Program

Marketing Coordinator Responsibilities:

  • Provide brand management support and assist with the implementation of marketing, advertising and promotional strategies for the organization.

· Assist with media relations activities including writing press releases and media alerts, maintaining a digital news archive, and participating in strategic communication and marketing efforts including creating event flyers and materials

· Coordinate with vendors for printing, graphic design and marketing deliverables, among others

  • Develop inspirational stories to bring the work of the Community Foundation to life and heighten awareness
  • Provide communication and marketing development and support for events

· Design and develop communications with content, design and layout

· Maintain an understanding of Community Foundation brand guidelines

· Develop and coordinate production of collateral for print and electronic use

  • Plan and coordinate vendors such as those for photography and video for marketing purposes
  • Work with media partners on general media inquiries and advertising opportunities
  • Working with the team, assist with communications using various channels (direct mail, email, etc.)
  • Working with the Events Coordinator and Director of Development
  • Assist with organization’s signature fundraisers: Gala, Tour of Kitchens, Wine Auction – including advance and day-of, on-site support
  • Support for donor gatherings such as lunch & learns, nonprofit engagement events, educational events, etc.

· Ability to create and send online newsletters with Constant Contact

Required Skills:

· Ability to work as a team member within an intimate, high volume, community-oriented environment – we all do it all!

· The candidate must be able to work Monday through Friday from 9am until 5pm plus flexible hours as needed for event days/mornings/evenings

· Must be proficient with Canva, Adobe Creative Suite including Photoshop, InDesign and Illustrator. Experience with design for print and electronic media required.

· Must be organized and have excellent written and verbal communication skills

· Strong interpersonal and communications skills

· Exceptional attention to detail and accuracy

· A strong ability to think ahead, organize tasks, anticipate what is needed next and manage time to deliver highest quality service and work product to constituents (donors, fundholders, Board Members etc.)

· Lift objects up to 30 pounds, occasionally

· Consent to a background check

  • Self-starter and self-disciplined with the ability to execute multiple tasks and priorities

· Experience working for a non-profit and working events is a plus, but not necessary.
