Job Description:

Isaacs & Isaacs is seeking a full-time Event Planner/Project Administrator to spearhead the events for both the law firm (Isaacs & Isaacs) and its offshoot, a law firm consulting company (Brain Trust Legal). The position will focus on the planning and managing of events that vary in size and purpose, located in multiple cities across the United States throughout the year. The position requires travel, understanding of the travel and events industry, flexibility, and excellent interpersonal skills for communication among large groups.

The responsibilities will vary by event. For BTL, there will be ongoing MasterMind events for which responsibilities include:

  • Planning events for attendees ranging from 25 to 50 people from start to finish for the multiple groups for Brain Trust Legal.
  • Coordinating details with the venues in terms, including: securing room blocks at hotels, planning meals for duration of the event, audiovisual needs, seating charts, entertainment. and making sure guests are taken care of while onsite.
  • Negotiate & review contracts for services needed while on location
  • Maintain organized & detailed attendee lists for all meetings on an ongoing basis.
  • Make travel arrangements for team members
  • Managing events and addressing potential problems that may arise
  • Organizing audiovisual equipment in advance
  • Creating agendas for each meeting
  • Gathering and saving all presentations for each meeting

BTL also does a large Annual In-Person Summit, for which the responsibilities include:

  • Scout locations for annual events ranging from 350 to 600 attendees.
  • Negotiate terms with event vendors including hotels, AV, photographer, general contractor, entertainment and other needs.
  • Work to implement ticket registration for events in which tickets are sold at.
  • Write & send contracts out sponsorship contracts as needed for events.
  • Remaining under budget with all costs
  • Maintain accurate records for all activities related to running a large event.
  • Serve as the project manager to ensure a successful event.
  • Source a general contractor for event needs.

The position also involves communication internally with I&I and BTL, as well as communication with law firm clients, including email, Zoom calls, and other consistent interactions. Additional tasks include:

  • Ongoing administrative responsibilities
  • Creating reliable financial reports and collecting payments
  • Administrative functions for Brain Trust Legal
  • Send out paperwork for new group members and complete the onboarding process with them
  • Communicate needs for monthly group Zoom calls including sending out agendas prior to each meeting.
  • Ensure monthly membership fees are collected and work through any issues as monthly fees are charged
  • Keep track of monthly meeting topics
  • Work with Finance to create reliable financial reports for review

FOR THIS POSITION, the ideal candidate would have the following qualifications:

  • 5+ years of event planning experience
  • A strong work ethic with extreme attention to detail
  • Must have IATA (travel agent license) or willingness to get successful certification within first six months of employment
  • Ability to work in a high-energy workplace, multi-task work on numerous meetings and events at one time, and be able to travel
  • Ability to manage multiple tasks and meet deadlines with limited supervision
  • Have exceptional communication and written skills
  • Have strong negotiation and people skills
  • Proficient in Microsoft Office
  • Ability to maintain confidentiality for the company, the firm, and all our law firm clients
  • A high degree of professionalism
  • Work well and collaborate in a team environment
