Job Description:

We are looing for a dynamic and fun person to join our small but mighty team! We like to make every day a good day and enjoy the fact that every day is different in the commercial real estate world. We love working with all types and sizes of companies from local entrepreneurs to national companies looking to locate in Lancaster, PA. This is a new position and we are looking for the right person to join us as we grow!

*Must live within 20 minutes of Lancaster City

*Must have 2+ years experience in marketing, graphics/design

*Must feel confident in performing marketing duties along with administrative duties

THE POSITION

This position is a fusion role that combines the responsibilities from various needs, which means you have an opportunity to make this position as valuable as you are! The right candidate will have a combination of experience and skills to manage all in-house activities so the sales agents can spend time earning new business and securing sales. The role is primarily based in the office with opportunities to visit properties on occasion. Responsibilities of the Office and Marketing Coordinator are divided across four main areas of focus:

1. Marking Manager

o Establish and manage PPM’s marketing and branding including consistency across listing sites, e-blasts, PPM’s website, social media, signage, brochures (using Canva)

o Facilitate marketing meetings with the team

o Focused marketing on listings including lead generation, follow up, specific marketing efforts, etc.

2. Sales and Leasing Transaction Support

o Support the Agents with real estate transaction activities to include document preparation, follow-ups, assisting Agents with the process of a sale or lease

o Track and monitor contractual deadlines such as sale contract contingency and listing agreement expiration & maintain organized digital files on each transaction

3. Office Coordinator

o Answer phone calls and advance inquiries to the next step

o Order office supplies, act as IT liaison, coordinate access/communication for building needs, etc.

o Evolve PPM’s governance

o Perform miscellaneous tasks to keep the office running

4. Executive Assistant to Owners/Broker

o Assist the Owners/Broker as necessary to include activities such as, but not limited to, scheduling, meeting preparations, follow-ups, data research and organization, generation of documents, etc.

 

SKILL & CHARACTERISTIC REQUIREMENTS

· Must have digital design/marketing experience. Prepare to share examples of work you have done

· Must know how to use Office 365, Teams and Canva

· Must be Reliable, dependable, honest, friendly and professional with a high standard of self

· Ability to execute time management skills against deadlines and working on multiple projects simultaneously

· Ability to creating aesthetically pleasing marketing pieces (using Canva)

· Proficiency or greater in Office 365, including Outlook, Excel and Word with a knack to learn web-based tools and platforms

· Demonstrated experience with business social media and Canva

· Exceptional organizational, written, and communication skills with a touch of sales

· Ability to research and report with a high level of detail and robust communication of findings

· Desired traits:

o Positive attitude — always seeking to better our team, reaching out to bring value.

o Ability to multi-task, work independently and collaboratively as part of a team with a willingness to support other’s

o Motivated to serve people and provide excellent customer service

o Have a sense of urgency but being able to remain calm under pressure

· Desired experience in Lightroom, Wordpress, Loopnet, MLS, Crexi, zipforms, GIS, RPR

· Beneficial but not required experience in real estate, investment analysis, property and comp research, and photography of real estate

If applicant has a real estate license, if can be transferred to PPM. There is an opportunity to obtain a license in this role and/or learn the CRE industry with future potential growth into becoming an agent or doing more in this business.

 

COMPENSATION & BENEFITS

· Salary Range: $55,000-$67,000 with future potential for salary plus a percentage of agent commissions

· Paid Holidays: New Years Day, Memorial Day, July 4th, Labor Day, Thanksgiving, Black Friday, Christmas Day.

· Paid Time Off for vacation and personal/sick days

· Flex Fridays with office closing at 3pm every Friday

· Retirement investment options after 2 years of employment
