Job Description
Overview: We are seeking a highly organized and detail-oriented individual to join our team as a Bookkeeper and Order Administrator. This dual-role position involves managing the accounting functions for two entities and overseeing the order management process. The ideal candidate will be proficient in QuickBooks, possess strong financial analysis skills, and have experience in order management.
Responsibilities:
Bookkeeping (50%)
- Accounting System Setup: Set up and maintain QuickBooks accounting system for two entities.
- Day-to-Day Accounting: Manage accounts payables, receivables, invoices, bills, and bank reconciliations.
- Expense Management: Track and manage company expenses to ensure accurate and timely reporting.
- Monthly Forecasting and Reporting: Prepare monthly forecasts, reports, and financial statements, including P&L and balance sheets.
- Financial Analysis: Conduct ad hoc financial analysis to support business decisions.
- Procurement Cost Management: Monitor and manage company procurement costs, ensuring accurate product pricing for customers.
- Payroll Management: Oversee payroll processes through our third-party provider, ensuring accuracy and timeliness.
- Commission Management: Ensure commissions are calculated correctly and paid on time.
Order Administration (50%)
- Customer Order Management: Handle all customer orders, ensuring invoices are issued, payments collected, and orders dispatched accurately and on time.
- Issue Resolution: Manage and resolve issues related to deliveries, incorrect items, returns, credits, and other order-related problems.
- Warehouse Coordination: Communicate with the warehouse to ensure orders are executed and dispatched efficiently.
- ERP System Management: Act as the owner of the ERP order management system, ensuring data integrity and system efficiency.
Requirements:
- Proven experience as a bookkeeper or in a similar role.
- Proficiency in QuickBooks and other accounting software.
- Good understanding of accounting principles and financial reporting.
- Experience with ERP systems and order management processes.
- Excellent organizational and multitasking skills.
- Strong attention to detail and problem-solving abilities.
- Effective communication skills, both written and verbal.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Previous experience in a dual-role position combining bookkeeping and order administration.
- Familiarity with third-party order management systems
- Understanding of pricing models and price tiers for different customer types
