Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! This role is vital in ensuring the smooth operation of daily office functions, providing exceptional support to staff and clients alike. You will manage a variety of administrative tasks, coordinate schedules, and maintain efficient office workflows to foster a productive and welcoming environment. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and directing calls with professionalism and courtesy Manage multi-line phone systems, screen calls, take messages, and transfer inquiries efficiently Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records Assist with calendar management, scheduling appointments, meetings, and coordinating events using Google Workspace or Microsoft Office tools Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking Provide excellent customer support by responding promptly to inquiries via phone or email and maintaining positive relationships Perform clerical duties such as photocopying, faxing, mailing, and maintaining office supplies to keep the workspace organized and functional Requirements Proven experience in office administration or clerical roles with a strong background in office management and customer service Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent phone etiquette and communication skills; bilingual abilities are a plus for serving diverse clients Experience with data entry, proofreading, filing systems, and general office tasks such as calendar management and time management Familiarity with QuickBooks for bookkeeping or financial record-keeping is preferred Prior experience as a receptionist—dental or medical receptionists are encouraged—along with personal assistant experience is advantageous Ability to handle sensitive information discreetly while maintaining professionalism at all times Join us as an Administrative Assistant and become an integral part of a team that values efficiency, professionalism, and exceptional service.
