PRIMARY OVERVIEW
This position performs accurate skilled data and coding entry. Persons in this position are expected to perform a wide variety of administrative duties with only intermittent supervision. Performs administrative and intake support as well as provides back-up coverage for other program support functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Enters and processes individuals’ data in an accurate and timely manner on the SANDIS system to include, but not limited to demographic individuals’ data, Client Development Evaluation Report (CDER) Early Start, etc., and counselor code numbers.
- Screens source documents and proofreads keyed material to produce error free work that is in conformance with agency guidelines. Returns document to counselor with request for correction and/or complete information on incorrect/incomplete entries.
- Researches and corrects error listings and codes returned by Department of Developmental Services. Prepares and forwards reports to Department of Developmental Services as needed.
- Updates diagnostic information utilizing DSM Coding in SANDIS system for psychologists and nurses.
- Schedules all psychologist’s assessment appointments following the IDER process. Maintains staffing tracking sheet, completes process through its full completion. Processes appointment letters and C&E’s associated with psychologist appointments.
- Schedules interpreters as requested for Psychologist appointments and processes documents and C&E’s with contracted agencies and staff psychologists.
- Prepares correspondences, reports, and letters for mailing; Performs look ups and copy work.
- Process requests for report translation by outsourcing to contracted translation agencies.
- Provides back up support to the Admin Legal Assistant with outsourcing documents for transcription services.
- Types and transcribes on a computer keyboard in a timely and error-free manner from voice recorded dictation, handwritten, typed or self- composed copy, proofreading and correcting all work for accuracy, grammar, spelling, punctuation, correct format, and completeness in conformance with agency guidelines.
- Maintains clinical teams schedule utilizing calendar/ scheduling software.
- Supports effective and efficient business practices.
- Maintains positive business relationships, individuals confidentiality, good attendance, and punctuality, and acts in accordance with all company policies and procedures.

MINIMUM QUALIFICATIONS
- High school diploma or AA and 1 year in related field.
- Knowledge of general office practices and procedures.
- Ability to communicate effectively, verbally and in writing.
- Ability to use various computer applications, including, but not limited to spreadsheets, word processing, and email.
- Ability to prioritize, organize and coordinate workload to meet deadlines and to work under pressure in a detailed, organized manner.
- Must demonstrate initiative, self-motivation, sound independent judgment, flexibility, strong interpersonal, skills, and excellent written and oral communication.
PREFEERED QUALIFICATIONS
- Bilingual skills preferred.
TRAVEL REQUIREMENTS
- No traveling required outside of office base.
WORKING CONDITIONS
Professional office environment. Noise level in the office is low to moderate depending on area. Individual workspace assigned and varies from open cubicle to private office.
