We're seeking a talented and organized Program and Marketing Coordinator to oversee a diverse range of responsibilities, from planning exciting birthday parties to managing soccer sessions and everything in between.

Position: Program and Marketing Coordinator

Requirements: Full Time position, weekend availability is a must.

Program Responsibilities:

Birthday Parties:

  • Design captivating party images
  • Organize party sheets in binders
  • Load images onto USB for seamless events
  • Schedule and coordinate party staff
  • Add detailed party notes on information sheets
  • Create and manage engaging social media posts
  • On site manager
  • Overseeing cleanliness of the facility

Public and Private Open Plays:

  • Add dates to the calendar and website
  • Utilize Registration platform for efficient registration
  • Implement effective marketing strategies
  • Record registrations in detailed spreadsheets
  • Generate and send professional invoices
  • Print registration sheets for organized binders
  • On site manager
  • Overseeing cleanliness of the facility

Special Open Plays:

  • Add dates and innovative ideas to the calendar and website
  • Utilize Registration Formbuilder for smooth registrations
  • Coordinate with vendors for special events
  • Execute marketing and promotional activities
  • Manage registrations and invoices
  • Order necessary materials/supplies
  • Serve as a hands-on manager during events
  • Come up with new and exciting ideas for upcoming events
  • On site manager
  • Overseeing cleanliness of the facility

Soccer Sessions (Tot Shots & Little Big Shots):

  • Add session dates to the calendar and website
  • Utilize Registration platform for streamlined registrations
  • Implement creative marketing strategies
  • Record registrations in comprehensive spreadsheets
  • Generate and send professional invoices
  • Order T-shirts and awards with attention to detail
  • Send warm welcome/reminder emails to parents
  • Manage Brightwheel groups for effective communication
  • Review weekly session lesson plans for organized binders
  • Coordinate coach staff scheduling with precision
  • Serve as a manager on duty during sessions
  • On site manager
  • Overseeing cleanliness of the facility

Soccer Teams: U6 and U8

  • Assist Sports Director
  • Add session dates to the calendar and website
  • Utilize Registration platform for efficient registrations
  • Implement strategic marketing initiatives
  • Record registrations in detailed spreadsheets
  • Generate and send professional invoices
  • Order uniform kits with a focus on quality
  • Set up TeamSnap for effective team management
  • Send warm welcome/reminder emails to parents
  • Correspond with Keystone coaches/admins for smooth coordination
  • Serve as a manager on duty during practices
  • On site manager for first and last practices
  • Overseeing cleanliness of the facility

Date Nights:

  • Add dates to the calendar and website for timely planning
  • Plan engaging activities/movies for memorable experiences
  • Utilize Registration platform for seamless registrations
  • Implement creative marketing strategies
  • Record registrations in detailed spreadsheets
  • Generate and send professional invoices
  • Manage Brightwheel groups for effective communication
  • Order necessary materials/supplies
  • Prepare materials with attention to detail
  • Send reminder emails the week of the event
  • Serve as a manager on duty during the event
  • On site manager
  • Overseeing cleanliness of the facility

Turf Rentals:

  • Respond promptly to inquiries from teams rentals
  • Add dates to the calendar for clarity
  • Prepare and send clear rental agreements
  • Maintain a rental tracking sheet for accuracy
  • Send rental information/welcome emails for smooth transitions
  • Implement effective marketing strategies
  • Send invoices and meticulously track payments

Hiring/Employees:

  • Conduct interviews for weekend staff with a discerning eye
  • Onboard new staff with comprehensive welcome information
  • Manage weekend staff files with attention to detail
  • Create and maintain employee Square profiles
  • Manage staff clothing/uniforms with a keen sense of style
  • Handle time-off requests and ensure availability by Mondays
  • Schedule weekend/events with precision
  • Recognize outstanding employees with an Employee of the Month program and post on social media and in the facility
  • Review payroll and timesheets with accuracy
  • Tracking employee performance

Marketing:

  • Send monthly Turf Times Wix email blasts for consistent communication
  • Create and send engaging event email blasts
  • Update the website regularly for current information
  • Manage Instagram and Facebook accounts with creativity
  • Create and post new events to generate revenue and excitement

Facility and Employee management:

  • Overseeing regular maintenance of the facility to ensure a safe and comfortable working environment.
  • Coordinating repairs and upgrades as needed.
  • Implementing and enforcing company policies and procedures.
  • Keeping employees informed about organizational changes.

Qualifications:

  • Associates, Bachelor's degree, or at least one year experience in a related field
  • Proven experience in program coordination and/or marketing
  • Exceptional organizational and multitasking abilities
  • Strong communication and interpersonal skills
  • Proficiency in relevant software and tools
  • Willing to train eager candidate
  • Child care and/or sports background

Job Type: Full-time

Pay: $45,625.00 - $47,638.00 per year
