Job Description:

This position acts as the manager for the Maintenance team. This position is responsible for ensuring that the staff provides exceptional service to all residents and internal team members. This individual will be responsible for reviewing maintenance daily activity reports and ensuring that the work orders reflect the work that has been completed. This position requires that the manager works closely with maintenance and outside vendors to ensure that the property and grounds are up to company standards. This includes site visits, property inspections, and physical meetings with vendors. This individual ensures that units are turned and completed correctly, cost effectively and on time. Individual will work closely with Projects Manager in making sure supplies are ordered, received, and inventoried correctly. Manages and oversees the completion of a wide variety of semi-skilled maintenance duties related to the organization’s residential program and office facilities.

Duties & responsibilities:

o Overseeing all maintenance projects, including but not limited to turnovers, general maintenance, repairs, maintaining fire systems, ground upkeep and overall upkeep of all multi-family properties managed my New Capital, LLC.

o Reviewing maintenance D.A.R. (Daily Activity Reports) to ensure that information is matching with work orders that have been processed.

o Ensure that data is accurately reported on the YARDI system for work orders.

o Preparing risk management and assessment reports and activities.

o Assisting team leaders when maintenance emergencies appear by getting hold of the proper vendors or staff assistance.

o When big ticket repairs are need individuals will work with vendors and property managers to get three bids to report to the executive team for approval.

o Develops scopes of work for small improvements/services and seek out qualified contractors to bid for work.

o Developing and maintain relationships with vendors, negotiating pricings, collaboration on approved vendor list, keeping vendor list updated and publishing the list for the properties.

o Work in conjunction with Compliance Department to ensure vacancies are filled.

o Conduct physical inspections of the properties.

o Conduct random inspection of ready units.

o Understands applicable building codes: implement or correct all facilities to comply with said codes.

o Understand and implement proper safety procedures for handling equipment, and for handling and repairing any equipment’s utilized for day-to-day operations.

o Establish and maintain collaborative working relationships between departments, with coworkers, and particularly with other members of a project team (maintenance, security , admin, human resources, accounting and compliance). Prepare for team meetings, in advance and act as the chairperson for the meetings.

ADDITIONAL KNOWLEDGE, SKILLS & ABILITIES

o Strong written and verbal communications skills.

o Ability to understand and carry out industry specific written and oral direction,.

o Positive, innovative approach to problem solving, presenting ideas in a clear, concise, understandable, and organized manner. Understand and implement proper safety procedures for handling equipment, and for handling and repairing any equipment’s utilized for day-to-day operations.

o Must be professional at ensuring staff to be supervised set priorities and coping with time sensitive demands.

o Excellent time management and general organization skill

o Experience with supervision of various types of maintenance duties such as electrical, painting, light plumbing and light repairs.

o Success at working with minimal management attention and achieving the needed results with ease, speed, and quality.

Requirements:

o 5 years of experience in maintenance

o Appfolio/ Yardi experience is desirable

o Computer literate in MS Windows and MS Office.

o Excellent oral and written communication skills.

o Bilingual in English and Spanish preferred

o Ability to coordinate multiple assignments and prioritize.

o Ability to handle sensitive and confidential issues in a professional manner.

o Ability to complete projects under short deadlines.

o Self-directed and able to work independently.

o Valid California Driver’s License with automobile in good working condition and liability insurance.

o Clean criminal background.

o Costumer service background and skills

o Neat, Professional appearance.

o Must be able to bend, reach and stand for extended periods.
