Job Purpose:

The Database Specialist will optimize, enhance, and build out functionality in the agency databases that best produces the functionality required by the programs and leaders. The Database Specialist's primary responsibilities include management of Catholic Charities of East Tennessee's (CCETN) records in the Raiser's Edge CMR, VistaShare, and other database platforms. Additionally, the Database Specialist will be the agency CMR expert responsible for maintaining the integrity and performance to ensure data is consistent and useful. The Database Specialist reports to the Director of Development and has no supervisory responsibilities.

Job Responsibilities:

  • Process all CCETN donations and pledge billings including credit card and ACH gift processing
  • Maintain accurate CCETN donor records
  • Ensure up-to-date donor biographical information as obtained from donor pledge cards, donor phone calls, as well as US Postal Service corrections, updates, and returned mail
  • Process gift and pledge payments, payment adjustments, write offs, online giving, and processing of all credit card gifts
  • Acknowledge gifts and prepare pledge reminders within prescribed time frame
  • Provide reporting for senior leadership as requested
  • Work closely with Diocesan Database Administrator for training and to apply consistent and appropriate gift management practices
  • Create queries and reports within Raiser's Edge to pull data for regular donor mailings
  • Communicate with donors, CCETN, Diocese, and parish staffs as needed
  • Manage confidential administrative and communication assignments utilizing knowledge of donors, diocesan operations, procedures, and personnel
  • Communicate gift processing issues to donors
  • Handle telephone calls and emails from donors and staff for the purpose of updating information and/or assisting either party with concerns and issues pertaining to data administration, stewardship, and/or the donation process
  • Streamline the case management system (VistaShare) to ensure consistent and useful information is input by program leaders
  • Develop or improve database management procedures
  • Interact, train, and communicate with CCETN staff regarding programmatic reporting needs while ensuring timeliness and data integrity
  • Develop and maintain reports in support of operational performance including creating and updating analytics dashboards for senior leadership
  • Other duties as assigned by Director of Development

Job Requirements

  • Must be able to move objects weighing up to 25 lbs.
  • Must be able to sit for long periods and enter data accurately
  • Must be able to see fields on a computer monitor to accurately enter data
  • Must hold a valid driver license and provide proof of auto insurance coverage
  • Must be willing to travel if required
  • Must be flexible and able to work evenings, weekends, and holidays if required
  • Must be able to communicate with, coordinate with, and take direction from, colleagues other than direct supervisor
  • Must be able to successfully pass a background check
  • Must maintain any training and certification requirements
  • Must support the teachings of the Catholic Church and embody our organization's mission and culture through behavior and daily interactions
  • Regular and predictable on-site attendance is required

Job Qualifications:

  • Associates degree or higher in Business; Accounting; Computer Sciences; Database Management; or similar field. (Relevant work experience in a similar field, with qualifying education level, may be substituted for specified degree field)
  • Experience with Raiser's Edge is highly preferable; however, experience with similar fundraising databases as well as other data entry experience will be considered
  • Skilled with database tools and software
  • Demonstrated organizational ability with strong attention to detail
  • Knowledge of basic fundraising techniques and strategies
  • Positive attitude with determination, humility, and compassion
  • Excellent analytical skills, organizational skills and attention to detail
