Job Description:

The Multnomah Athletic Club is a private social and athletic club in downtown Portland with a 130-year history. With approximately 20,000 members and over 600,000 square feet of space adjacent to Providence Park, the club has a variety of communications and marketing projects to inform members and promote sports activities, fitness and wellness programs, private events, food and beverage service, camps, and classes and much more.
The Communications Project Manager reports to the Communications Director and supports the entire department by managing the day-to-day workflow of campaigns and creative requests, ensuring all work is produced on time, on budget, and on strategy. This position will manage the intake process for projects and requests for deliverables and will consult with other departments as needed to scope projects and recommend solutions. The Communications Project Manager maintains the project management system, makes recommendations for streamlining processes or troubleshooting issues, and must experience managing marketing and communications campaigns and projects. This position helps secure contractors and outside vendors as needed and ensures costs are tracked and reported throughout the project.
The Communications Project Manager remains up-to-speed on MAC marketing and communications strategies and brand standards and applies this knowledge to scope and implement project plans. This position collaborates with the Communications Manager, Marketing Manager, and Content Manager to develop project plans and see them through to completion. This position also plays a critical role in overseeing asset intake and production logistics for the club’s monthly member magazine, The Winged M, including assisting with magazine advertisers. The position requires exceptional attention to detail, the ability to remain organized and keep projects on track in a fast-paced environment, and must be able to possess excellent relationship management skills to work collaboratively with vendors and other partners throughout the organization.

Principal Duties and Responsibilities:

  • Operate as a liaison between project team members and program/event managers
  • Hold weekly Project check-ins with in-house designers and copywriters, providing project updates, answering questions.
  • Scope and manage the development of print, video, and web materials, collateral, and campaigns
  • Order printing supplies for in-house printing, laminating, mounting, etc.
  • Assign internal and external resources to projects and creative requests
  • Support monthly publishing schedule for The Winged M magazine, including editorial and print deadlines
  • Assist in content planning for Winged M: placeholders, event calendar, house ads, etc.
  • Schedule and facilitate photo shoots, interviews, or design consults
  • Manage the Photography request intake form, ensuring photographers will be present at the event.
  • Oversee, manage, and prioritize project workflow from scoping/briefing to final execution
  • Develop detailed project plans and manage timing throughout the life of each project
  • Work with partners and the Communications Director to manage project budgets
  • Source and manage outside vendors and freelancers: photographers, illustrators, stylists, etc.
  • Approve Timesheets, assign work, provide feedback on work, act as a liaison between project stakeholders and designer/copywriter, manage freelancer time off requests, adjust due dates and deadlines, and problem-solve when challenges arise.
  • Keep project partners informed about project status and communicate any scope, timing, or budget changes.
  • Develop project status reports and share with department and project team members along with recommendations for course correction or mitigation plans needed
  • Apply communications best practices, trends, and knowledge of MAC’s key strengths and attributes to all marketing communications initiatives
  • Provide exceptional “customer service” and develop and maintain strong partner and team relationships
  • Submit weekly invoices to the AP desk
  • Provide other departments with necessary invoices and guide them in the submission process
  • Serve as the main administrator and trainer for Asana, the department’s project management application
  • Develop SOPs and supporting documents supporting the Communications Project Process for department members, MAC Partners, and Committees.
  • Attend and occasionally present or facilitate weekly team meetings, partner department meetings, and occasional committee meetings with members

Job Requirements:

  • Bachelor’s degree in Marketing, Mass Communication/Advertising, or a related field, with 3+ years of experience as a project coordinator or manager
  • Understanding of the graphic arts, editorial, and print production workflow processes
  • Working knowledge of print production processes and techniques (artwork, pre-press, printing)
  • Ability to facilitate meetings with partners, interpret needs, and create project plans
  • Extremely detailed-oriented and organized
  • Exceptional time management and problem-solving skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple, concurrent projects simultaneously
  • Proficient in MS Office applications including Word, Excel, and PowerPoint
  • Experience with Asana or similar workflow management software is required
