Job Description:

Dynamic position with daily variety. Cordial, supportive team environment serving Class A Asset in uptown Denver. The applicant will be required to sit on-site at the asset with the potential for hybrid working following the first month of employment.

 

Responsible for the day-to-day administration and implementation of those policies, procedures and programs that will assure a well-managed and well-maintained property. This includes but is not limited to, placing maximum emphasis on positive responses to the concerns and needs of the tenants, and on increasing the value of the property being managed, in coordination and conjunction with the Owner’s goals and objectives. Lead member and first (telephone) response for tenant/customer service requests serving a portfolio of investment and corporate properties. Compile, and assist, as requested, in the preparation of, various monthly (and other periodic) property operational, administrative, and financial reports. The Assistant Property Manager will be assigned to specified action areas at the discretion of the Property Manager, so as to best meet the needs of the property.

 

Essential Job Duties:

 

Administration Tasks:

  • Will participate in the development and administration of the strategic property plan and budget for the property.
  • To include gathering pricing from vendors, verifying stacking plans and rent rolls, as well as organizing and tracking projects/proposals for future years
  • May be involved in, under the direction of the Property Manager, activities within the parameters of the approved business plan and budget
  • Assist in the collection, analysis, and reporting of data; repair, capital, and budget items required to provide accurate and current assessments of property management objectives.
  • Shall participate in the day-to-day financial management of the properties with specific attention to accounts receivable, collection activities, maintenance of accounts payable on a current basis (taking advantage of discounts wherever possible), and the maintenance of all necessary financial records and files in an accurate and timely manner
  • Understand and navigate policies and procedures related to accurate and timely accounting processes including Accounts Payable, Purchase Orders, and Accounts Receivable
  • Familiar with accrual method of accounting and able to complete accruals and variance comments for monthly financial reporting

Tenant Interfacing:

  • Responsible for prompt and positive responses to requests from property tenants, for the implementation of ongoing contact programs, constantly assessing tenant needs and ensuring problems are being solved promptly, and to the mutual benefit of the tenant and the properties
  • Able to de-escalate tenants while resolving any problems that might arise.
  • Involved in the administration of all tenant leases to assure full compliance with lease provisions. May also participate in the timely determination of escalations, timely collection of all rents, and inappropriate action to lease available space within the buildings
  • Handle tenant requests and dispatch work orders

 

Vendor Oversight:

  • Will participate in the selection of contract services, vendor negotiations for service agreements, and day-to-day monitoring of vendor performance to assure full compliance with standards established within the respective service agreements
  • Responsible for tracking ongoing Purchase Orders coinciding with repairs from notification of repair needed to completion of job and payment of invoice
  • Assists with quarterly inspections and internal reviews/audits.

 

Client Communication:

  • Prepare operations agenda for regularly scheduled calls with clients.
  • Participate in meetings, when needed, in a professional manner.

 

Other Job Functions:

  • Participate in various meetings and training activities as designated by the Property Manager and/or higher-level management
  • Will work closely with the building engineer to coordinate repairs, update work orders, track vendor repairs, and ensure tenant satisfaction.

 

Skills, Education, and Experience:

 

  • Bachelor’s Degree or High School Diploma/General Education Degree (GED)
  • Colorado Real Estate License (Or willing to obtain within 6 months of hire)
  • Proficient in MS Word, MS Excel, E-Mail.
  • Working knowledge of Internet and Internet Searching Techniques.
  • Ability to work independently with minimal supervision.
  • Flexibility to handle changing priorities and projects.
  • Ability to prioritize workload with attention to detail and willingness to complete projects in a timely and efficient manner.
