The Assistant Project Manager will be an integral member of the Hospitality Projects team, working on high-profile projects within the hospitality segment. This role demands a proactive approach in organizing, a high level of accuracy and attention to detail to ensure all project milestones are met efficiently and effectively. The Assistant Project Manager will be responsible for maintaining the accuracy of each project from inception to completion, ensuring the highest standards of execution and customer experience.
Responsibilities Include:
Oversee and manage open order reports on a weekly basis to ensure adherence to date management protocols.
Proactively communicate important order milestones, such as ship dates and backorders.
Maintain seamless communication with internal departments to ensure all project-related milestones are achieved on time.
Ensure accurate order entry based on field measurements, quotes, designer specifications, and purchase orders.
Maintain detailed and organized records of all project activities, communications, and documentation.
Organize and lead conference calls and meetings with project stakeholders, ensuring clear and effective communication.
Build cooperative relationships with team members from all associated internal departments and external stakeholders
Update all pertinent information within internal programs to ensure that all stakeholders are informed of project progress from the time of scheduling through project completion
Deeply understand customer expectations, specifications, and project requirements to ensure all deliverables meet or exceed client standards.
Execute tasks with high accuracy and attention to detail, maintaining the integrity and profitability of each project.
Qualifications Include:
Required: High school diploma
Preferred: Associate or bachelor’s degree in business administration, Project Management, Hospitality Management, or a related field
Required: Minimum of 3 years of relevant experience in customer service or project management, preferably within the hospitality industry.
Demonstrated success in managing multiple complex projects and priorities while meeting desired outcomes effectively
Preferred: 5+ years of relevant experience, with a strong track record of successful project delivery
Required:
Excellent organizational, oral, and written communication skills to effectively work with various audiences
Ability to prioritize and manage multiple tasks and projects simultaneously
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
Preferred:
Experience with Oracle/JD Edwards or similar enterprise resource planning (ERP) systems
Experience with Procore or other Project Management software
Confident team player who is driven, accountable, results-oriented, continuous learner and is customer centric
Detail-oriented with a strong commitment to accuracy and quality
Proactive problem-solver with the ability to anticipate and address project-related challenges
Strong interpersonal skills and the ability to work collaboratively with diverse teams and stakeholders
Demonstrated ability to work collaboratively with a team and independently efficiently and effectively
