Job Description:

The Administrative Programs Manager is responsible for internally focused programs and projects at the Roche Diagnostics Pleasanton and Santa Clara sites. These programs are essential to employee experience and engagement, and include New Employee Orientation, the Ambassadors leadership program, coordination of Site Leadership and Extended Leadership meetings, and others. Projects largely include site events like Benefits Fairs, Bay Area Site Operations celebrations and leadership offsites, and small events activities for the campuses. This individual will work closely with Site Services, Global Events, and our local Admin community to administer their programs and projects. They may also represent Roche in our local community through philanthropic or volunteer activities.

 

Assists in the planning and execution of project(s) having an internal focus from initiation through delivery. Organizes team and cross-functional activities, ensuring completion of the project while adhering to budget, scope and schedule requirements. Performs administrative support to the senior leader. Requires broad and comprehensive experience, skill, and knowledge of organization policies and practices. Works independently on assignments and exercises considerable discretion and independent judgment. Duties are varied and complex often involving research, project management, analysis and solution development. Assists in coordination of tracking, consolidating, scheduling, and managing projects. Requires the regular use of originality and ingenuity.

 

Key Responsibilities:

  • Provide administrative support for department leader

  • Responsible for coordination of all aspects of a small program/project or phases of a larger project in conjunction with the Vice President and Site Head of Pleasanton and Santa Clara and other leadership team members e.g identifying appropriate resources needed, track progress of key activities, developing schedules to ensure timely completion of project.

  • Coordinate internal resources and third parties/vendors for the flawless execution of projects

  • Ensure that all projects are delivered on-time, within scope and within budget

  • Prepares and completes action plans.

  • Process contracts and any other related agreements to support business activities

  • Attends meetings with staff and outside parties, records and distributes meeting minutes.

  • Prepares reports and presentations drawing data from a variety of sources. Prepares budget and project reports as required.

  • Design, build and manage internal department’s digital files, support for staffing and recruitment

  • Researches, collects, compiles, and analyzes a wide variety of complex data and information requests.

  • Carry out daily operational tasks in an effective and timely manner

  • Setting priorities and taking ownership of tasks and responsibilities

Who You Are:

  • Bachelor’s Degree or equivalent work experience in a closely related business area.

  • 2 years related business experience.

  • 2 years project or event management experience or project/ event support experience with demonstrated ability to lead and manage a project independently.

  • Participation in an approved accelerated development, fellowship or rotational program may be considered in lieu of experience

Preferred:

  • Excellent leadership, communication, influence and negotiation skills.

  • Strong computer software applications skills.

  • Excellent time management and organizational skills.

 

Relocation benefits not available for this role.

 

The expected salary range for this position based on the primary location of California is $70,300-$130,500 USD Annually. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed at the link provided below.
