Job Description:

The organization is seeking a full-time Systems Associate to support the day-to-day operation and administration of internal technology and business systems. Reporting to the Director, IT and Systems, this remote role based in the United States is responsible for managing routine IT, systems, and access requests, providing frontline administration for core business tools, and executing security and compliance procedures.

Key Responsibilities

  • Manage assigned requests through internal help desk workflows, independently resolving routine IT and systems tickets from intake through completion.
  • Troubleshoot and resolve routine account, access, application, device, and system issues across core platforms.
  • Research unfamiliar technical issues using documentation and vendor resources to identify and implement effective solutions.
  • Communicate directly with requesters, document actions taken, and ensure requests are resolved and closed accurately.
  • Escalate complex, sensitive, or policy-related issues to IT leadership or external vendors following initial troubleshooting.
  • Provide frontline support for staff using HubSpot and connected tools, including troubleshooting production issues, answering system questions, and maintaining data hygiene.
  • Support CRM user audits, permissions reviews, and security practices in collaboration with IT leadership.
  • Manage user lifecycle activities, including onboarding, offboarding, and routine access provisioning, modification, and deprovisioning within established procedures.
  • Maintain accurate system records and documentation to support IT, human resources, security, and compliance requirements.
  • Conduct recurring reviews of system configurations, permissions, and access levels, completing assigned security and compliance activities.
  • Develop, update, and maintain IT documentation, user guides, and internal knowledge resources to support staff self-service and adoption.
  • Deliver technical training touchpoints during onboarding and refresher sessions as needed.
  • Execute assigned tasks within IT and systems projects, implementing small-scale workflow enhancements and automations to improve operational efficiency.

Required Qualifications

  • 1 to 3 years of experience in IT support, systems administration, or related roles.
  • Demonstrated experience with Google Workspace and Google Admin Console.
  • Experience administering HubSpot CRM across multiple Hubs, including Marketing, Sales, Service, and Data (formerly Operations).
  • Practical experience navigating, supporting, and enhancing business systems and processes.
  • Strong communication, presentation, and interpersonal skills.
  • Exceptional attention to detail, organizational abilities, and experience managing multiple projects simultaneously.
  • Proven ability to balance immediate operational support demands with long-term projects.
  • Demonstrated self-discipline and flexibility working in a remote environment.

Preferred Qualifications

  • CompTIA A+ certification.
  • Previous experience in a startup or high-growth environment.
  • Lived experience related to social justice, diversity, equity, and inclusion.
  • Experience leveraging AI models to identify, prioritize, and automate repetitive tasks across systems and workflows.
  • Experience utilizing generative AI capabilities within HubSpot, such as chat-based workflow creation, AI reporting insights, or content assistant tools.
  • Experience implementing AI-assisted data hygiene processes to detect duplicate records, populate missing properties, and preserve CRM integrity.
  • Experience developing micro-learning resources to support team adoption of AI tools.
