Summary Of Duties

This position will provide secretarial support to the mechanical yard management staff and craft employees. It requires the successful applicant to work in and around equipment in the mechanical yard sometimes climbing in and out of equipment. This position supports OMF Mechanical activities,Environmental Health and Safety activities, Safe2Safer activities and is a back up to the OMF Superintendents Secretary and OMF Payroll Clerk duties. Incumbant will provide meeting support to include taking of minutes and transcribing duties.

Essential Functions
 

  • Maintain control system of gas cards. Maintain & update vehicle reports and insurance updates; handle all aspects of GSA Vehicles assigned to facility, including weekly mileage logs, etc
  • Maintain and update vehicle driver info (primarily laborer driver DOT information) as necessary for Amtrak Automotive Department
  • Maintain and update the filing of all car and locomotive maintenance documentation, including but not limited to S&I Daily Inspections, PM Daily briefings, Safety Walkabouts, Safety, UCR Reports, 218 compliance, electronic file system entries of equipment conditions and maintenance management system
  • Maintain, update and re-stock all required maintenance forms and documents for mechanical yard
  • Create Work Orders in WMS
  • Create, update and maintain employee bulletin boards
  • Create and maintain employee signature cards for documentation
  • Assist with vacation scheduling & documentation (when/if needed – Union reps are primarily responsible for this)
  • Distribute and maintain parking passes and locker assignments
  • Distribute and maintain Blueflag protection photos & flags for employees & contractors
  • Maintain or destroy files in accordance with Amtrak Record Retention Policy, provide notice to supervisor of due dates for removal and/or destruction
  • Supports and covers for other internal department secretaries as needed. (Superintendent Secretary or Payroll Secretary)
  • Assist lead clerk (Superintendents Secretary) in local implementation of Employee Service Awards, Employee Appreciation Days, Train Week and other company wide activities as needed
  • Assist Payroll Clerk (Payroll Secretary) in managing & maintaining employee master manpower list and/or seniority roster as needed.
  • Ensuring employee names and ID numbers are correct; ordering ID Badges,
  • Distributing payroll information in the absence of the payroll cler
  • Create FedEx labels, Ship packages and samples as needed
  • Monitor and order department/office supplies as needed for General Foreman, Managers and Foreman Offices/yard (including blue Flag Cards/laminates, parking passes, parking tickets, Staples Supplies,Analysts Oil Sample Bottles etc.)
  • Collect and process oil samples as received
  • Maintain historical oil sample log with engine number and dates
  • Package oil sample and ship to laboratory for analysis
  • Other tasks that may be assigned by direct supervisor
  • Responsible for handling all telephone communications, and preparing all correspondence and reports
     

Minimum Qualifications
 

  • Must sucessfully complete a Word/Excel proficiency test
  • Must possess strong knowledge of standard business letter formats, memos and responsible maintaining a
  • good work flow managing office files and ordering supplies
  • Must be computer literate and able to demonstrate proficiency in various PC applications including:
  • Microsoft Word, Excel, ETrax, SAP, WMS and AAMPS.
  • Must be able to work consistently without supervision and be able to manage work load efficiently
  • Must comply with and understand Amtrak’s Standard of excellence.
  • Possession of a valid California driver’s license
  • High School Diploma or GED Required
     

The hourly rate is $27.08 - $36.11 (with opportunity for increases, as per the applicable collective bargaining agreement, after beginning employment).
