Job Summary: The Scheduling Coordinator is responsible for the oversight, reconciliation, and maintenance of all provider/ Clinician schedules. They are responsible for managing all scheduling updates and changes to providers’ schedules as assigned or as directed by the Clinical Workforce Manager to assure coverage for all provider shifts. Strong attention to detail, excellent communication skills, and a thorough understanding of scheduling procedures and policies are essential for success in this position. This position is flexible and must be available to occasionally work evenings, weekends and on-call. This role reports to the Clinical Workforce Manager.
Key Responsibilities:
- Creates and maintains Clinician schedules, providing correct staffing ratios, and scheduling to ensure proper coverage in all states.
- Provides collaborative support to the Clinical Workforce Manager to meet daily staffing requirements and maintain effective staffing patterns.
- Requests Clinician availability, manages incoming scheduling requests, builds and manages Clinician schedules, and distributes the schedule to all necessary parties.
- Ensures Clinician schedules meet certain goals and requirements depending on their role or employment status (i.e. minimum weekly hours for full-time employees, etc.).
- Maintains continuity of scheduling operations by timely and appropriately following up on scheduling issues and/or barriers. Pre-planning for holidays, closures, and emergencies as needed.
- Ensure timely communication regarding staffing needs with all providers, Clinical Workforce Manager, and other Senior Leadership as required.
- Follow staffing procedures as outlined by the Clinical Workforce Manager and Senior Leadership.
- Immediately inform Clinical Workforce Manager and Chief Medical Officer (CMO) of troublesome or other communication problems with providers or other staff members.
- Communicate key announcements to staff and maintain important team documents as requested by the Clinical Workforce Manager or Senior Leadership.
- Provide administrative support to the Clinical Workforce Manager and/or Senior Leadership including support with special projects as needed.
- Additional duties as assigned.
Preferred Qualifications:
- Prior experience in scheduling, healthcare operations, or working with healthcare providers
- Excellent organizational and time management skills
- Strong verbal and written communication skills
- Highly competent in dealing with scheduling complexities
- Proficiency with data entry and thorough understanding of basic computer skills and cloud-based platforms
- Skilled with Microsoft Office Suite (i.e., Outlook, Excel, PowerPoint)
- Technology competency with electronic medical record systems preferred
- Ability to multitask and work independently in a fast-paced remote work environment
- Problem-solving mindset and a proactive approach to challenges
- Previous experience within healthcare or medical office setting highly preferred
Physical Requirements:
- Ability to perform the essential job functions consistently and successfully with the ADA, FMLA and other federal, state, and local standards, including meeting productivity standards.
- The employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop; kneel, crouch or crawl; talk or hear.
- Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- Prolonged periods of sitting at a desk and working on a computer, tablet or mobile device.
- Must be able to lift up to 15 pounds at times.
Working Conditions:
- Work will be performed in a home office setting.
- Access to a personal computer and ability to use a third party authenticator app.
- Must maintain a HIPAA compliant dedicated space in the home office setting to complete documentation and to conduct telehealth visits. This space must provide privacy to protect PHI/PII and provide a professional backdrop for video conferencing.
- Access to Wi-Fi required.
