The Department of Health Services (DHS), Office of the Secretary (OS) is hiring a Records Specialist in the Communications Office.

Please note:

  • This position offers the option to work remotely up to 5 days per week but must be headquartered in the Madison office at 1 West Wilson Street due to occasional in-office commitments.
  • The duration of this full-time project position is anticipated to last no later than December 2024.

Position Summary

 

As a Records Specialist in the Digital Communications Section, you will provide forms and records management services in support of recovery from the COVID-19 pandemic. Specifically, you will support data and records collection management, as well as documenting new forms and publications policies and workflows that changed due to responding to the COVID-19 pandemic. In addition, you will:

  • Ensure compliance with public records laws. This includes remaining current on laws, rules and policy potentially impacting public records including federal regulations, State rules, Administrative Directives and Executive Orders.
  • Assist with open records requests (ORR) for the Office of the Secretary, Office of Health Equity (OHE), and Office of Policy Initiatives and Budget (OPIB), including responses related to COVID-19.
  • Make policy recommendations, prepare issue papers on assigned topics/areas, and participate in selected workgroups.
  • Support post-COVID-19 communications efforts as requested.
Salary Information

 

Pay for this position is between $24.00-$29.12 per hour (approximately between $49,920 and $60,500 per year) depending on qualifications, plus excellent benefits.

Pay for current or former employees is based on the rules that apply to compensation for the applicable transaction. This position is classified as Records/Forms Management Specialist and is in pay schedule and range 07/04.

Job Details

  • Employees must have access to secure high-speed internet for remote work option. Mileage reimbursement to the employee’s headquarter location is not provided.

Qualifications

 

Minimally qualified applicants will have all of the following:

  • Experience in records management, including records retention, storage, and disposal policies and procedures.
  • Experience editing and proofreading content to ensure proper formatting, grammar, and workplace style.
  • Experience creating and editing documents using Microsoft Office Suite and Adobe Acrobat.

 

Well-qualified applicants will also have one or more of the following:

  • Experience creating fillable forms using a variety of software tools such as MS Word, MS Excel, Adobe Acrobat, etc.
  • Experience processing open records requests.
  • Experience with state or federal records retention, storage, and disposal policies and procedures.
