Job Description:

Crosstown Insurance is looking for a friendly, organized, and detail-oriented Office Manager to help support the daily operations of our client-focused insurance office. This is an important role for someone who enjoys helping people, keeping systems organized, has a drive for process and business improvement, a love for engaging technology, supporting a small team, and making sure clients receive excellent care from the moment they contact or visit our office.

The ideal candidate is professional, dependable, proactive, and comfortable wearing several hats in a small business environment. This person will support the Owner, assist clients, manage office systems, coordinate administrative tasks, and help keep the office running smoothly.

Responsibilities

  1. Greet clients and visitors in a warm and professional manner.
  2. Answer incoming phone calls and route questions to the appropriate team member.
  3. Schedule appointments by phone, email, and in person.
  4. Monitor emails, voicemail, and general client communication.
  5. Process improvement mindset, engaging technological solutions such as AI to streamline out non-value add work.
  6. Collect and enter client information accurately into office systems.
  7. Maintain client records and assist with account updates.
  8. Support the Owner with administrative tasks, follow-up items, and office priorities.
  9. Help coordinate staff meetings, office communication, and internal processes.
  10. Prepare materials for seminars, client events, and marketing initiatives.
  11. Maintain marketing collateral, business cards, printed materials, and office supplies.
  12. Assist with social media and basic marketing support as requested.
  13. Support onboarding of new employees, including email, phone, voicemail, IT, and workspace setup.
  14. Organize receipts, petty cash, and basic expense documentation.
  15. Keep the front office, waiting area, and shared spaces clean, organized, and welcoming.
  16. Help improve office workflows, checklists, and procedures.

Qualifications

  1. Two or more years of administrative, office management, customer service, or business support experience preferred.
  2. Comfort with learning new technology and implementing process improvement
  3. Understanding of AI Artificial Intelligence and a willingness to learn and lead efforts.
  4. Strong computer skills, including Microsoft Office and Outlook.
  5. Excellent phone, email, and in-person communication skills.
  6. Strong attention to detail and accuracy with data entry.
  7. Ability to work independently and manage multiple priorities.
  8. Professional, friendly, dependable, and trustworthy.
  9. Comfortable working in a small team environment.
  10. Marketing, social media, or event support experience is a plus.
  11. Insurance or financial services experience is a plus, but not required.
  12. Business, marketing, communications, or administrative education is preferred, but not required.
