This job will include various tasks in working for the Machinary Service Department.
The tasks are listed below.
Spare Parts:
1. Create sales orders for packing & shipping
2. Prepare UPS, FedEx, & DHL shipping labels & enter info for commercial invoices for international shipments
3. When Parts Manager is on vacation/unavailable:
a. Check availability of parts and prepare quotes for customers
b. Order parts
c. Receive in parts shipments in CenterPoint
Service:
1. Prepare service visit quotes for customers
2. Request POs from customers prior to service tech traveling to customer site
3. Schedule service trips & keep track of service calendar in Outlook
4. Make travel arrangements for service techs
5. Prepare service visit cost reports when service tech completes visit, & double check service tech’s expense reports, time sheets, and customer service reports
6. Send appropriate paperwork to HQ in Germany (delivery notes & final acceptance reports) when service visit is finished
7. Invoice customers for service visits
8. Keep track of service visit log
9. Keep track of LWB warranty/service log for billing purposes
10. Request warranty number from LWBG when customer service is covered under warranty
11. Review service calendar and any pending service matters with service liaison manager on a regular basis
Administrative tasks for machine & retrofit orders:
1. When a customer order is received, prepare customer information page, sales order & LWB NA purchase order and send to appropriate department at LWBG
2. Enter information in logbook and in LWB NA machine order/invoice tracking spreadsheet
3. Prepare and send confirmations of order and invoices for customer POs
4. Monitor production status of machines/retrofits to determine when next invoice is to be sent to customer
5. Request PO from customer for transport (if necessary)
6. Keep customer informed on status of shipment, including sending shipping documents when machine/retrofit leaves LWBG
7. Update logbook and machine order/invoice tracking worksheet on a regular basis
8. Follow up with customers regarding outstanding payments
9. Prepare invoices for leased presses 15thof every month
10. Send machine drawings to customers for review and approval
11. End of year – pack up sales orders, invoices, vendor POs and press books for storage
