Events Manager
We are looking for an Events Manager to help us support our continued growth. Reporting to the VP of Brand Marketing, the Events Manager will create experiences that drive demand for Coastal’s services. With a focus on ROI, these events span from conference sponsorships to hosted industry summits to engaging webinars. This pivotal role requires someone who cannot only build cross-functional relationships, but also work within a fast-moving organization to deliver high-performing experiences where no detail goes unnoticed.
Role Responsibilities:
- Event Strategy & Planning
- Own Coastal’s events strategy with an eye towards lead generation
- Create an outcomes-based method to prioritize which events to pursue
- Work closely with Coastal’s eight business unit leaders (i.e. Healthcare, Manufacturing, Non-Profit) to establish an events calendar
- Work closely with the Alliances team for co-hosted and sponsored partner event opportunities
- Take ownership of the event planning process from inception to completion
- Develop detailed event project plan templates, timelines, and budgets
- Focus on the lifecycle of event leads, ensuring they get moved through the funnel to opportunity
Event Execution & Logistics
- Manage event project plan for no misses
- Source and manage external vendors, negotiate contracts, and coordinate all event-related services, such as venue selection, catering, audiovisual equipment, transportation, and accommodation
- Conduct regular event status meetings, providing updates, presenting key findings, reporting on ROI, and seeking input
- Ensure events are well-coordinated, run smoothly, provide an exceptional experience for attendees, and deliver on goals
Promotion & Marketing
- Work with the marketing team to create effective event marketing campaigns that generate excitement, increase registrations, and drive attendance
- Collaborate with the marketing team to develop compelling event content, collateral, and materials (with an eye towards reuse)
Budget Management
- Meticulously track event-related expenses to budget, review vendor invoices, and ensure payments are made
- Prepare post-event financial reports, analyzing ROI and providing recommendations for cost optimization
Experience/Skills Required:
- Proven experience (5+ years) as an Events Director, preferably in the technology or B2B space
- Strong project management skills with a keen eye for detail and the ability to handle multiple events simultaneously
- Experience managing budgets and timelines
- Ability to develop strong relationships across all levels of the organization
- Can thrive and maintain flexibility in a fast-paced environment
- Creative thinker with a passion for delivering innovative and impactful event experiences
- Detail-oriented mindset with strong problem-solving abilities and a proactive approach to overcome challenges
- Ability to adapt to a fast-paced and dynamic work environment
- 100% a team player: no task is too small or too big
- Proficiency in Salesforce and Google Suite
- Excellent writing and visual skills
- Flexibility to travel as required for on-site event management (roughly 20%)
- Must have full-time permanent US work authorization
Additional Preferred Experience/Skills:
- Bachelor’s Degree preferred, or equivalent experience
