Job Description:

The Rockefeller Foundation is seeking an Events Assistant, reporting to the Director, Event Management. This person will serve as a receptionist in the main lobby area of the New York City Convening Center during convenings and assist with check-in. They will also be responsible for reacting to convening related needs and providing administrative support to the Foundation Services team.

Pay Range : $55,649- $72,417. This represents the present low and high end of the Foundation’s pay range for this position. Actual pay will vary based on various factors, including but not limited to experience.

Work Schedule: This role will be onsite 5 days, Monday-Friday, with the flexibility to work a flexible schedule based on event demands. Occasional weekends are required.

Principal Duties and Responsibilities

Greeting, directing, and maintaining a record of all visitors to the Convening Center.
Assisting hosts and guests with any event needs, serving as an onsite point of contact, and being present for the convening.
Managing the Foundation’s guest lists in coordination with the building system.
Assisting the Convening Center team with troubleshooting A/V requests, meeting set-up changes, and catering issues.
Ensure digital signage for the Convening Center is coordinated and displayed correctly.
Ensure the Convening public space is maintained.
Assisting with the event scheduling platform.
Partner with the security staff to ensure convenings are properly supported and safe.
Work on special projects as requested.

Education, Experience, and Skills

A high school diploma or equivalent
At least 2 years of experience in the hospitality or reception field.
Demonstrated ability to apply related practices and to use tools and systems of the field.
Strong customer service focused demeanor
Computer proficiency in MS Word, Excel, Outlook, PowerPoint, Internet search skills, and ability to learn new applications quickly.
