WWSG is seeking an experienced, talented and energetic individual to join our team as Event Coordinator. ECs are responsible for the successful coordination of speaking engagements booked by our firm. The ideal candidate will serve as a liaison between our clients, our speakers and our organization once events have been contracted.

To be successful in this position, Event Coordinators must convey continuous positive influence both within the company and to our clients and our speakers. They must demonstrate strong interpersonal, communication and teamwork skills and must be able to develop partnerships with co-workers. The ideal candidate will have enormous pride in their work and will assume full responsibility and accountability for the engagements on which they work. They must be extremely detail-oriented and be able to manage multiple projects simultaneously. Event Coordinators must perform effectively under pressure and make difficult decisions independently in a timely and ethical manner.

Principal Duties and Responsibilities

  • Understanding the complex needs of different events and diverse clients.
  • Attentive to the value of staying under budget while coordinating travel specifications and travel itineraries for high-profile speakers including celebrities, former politicians, journalists, business executives and subject matter experts.
  • Schedule, conduct and mediate pre-event calls between speakers and clients.
  • Issuing invoices and collecting payments in a timely manner and creating comprehensive and readable financial reports.
  • Anticipating and planning for possible different scenarios.
  • Liaise with speakers and clients to identify individual needs and ensure speaker and client satisfaction.
  • Proactively handle any arising issues and troubleshoot any emerging problems on or before the event day.
  • Plan and coordinate all aspects of travel and lodging for speakers while remaining attentive to speaker’s specific requirements and constraints placed by clients.
  • Coordinate and monitor event timelines and ensure deadlines are met. ·
  • Respond to inquiries and special requests, i.e. VIP receptions, book-signings, etc. and resolve unexpected challenges in a friendly and efficient manner.
  • Occasional travel to conferences where speakers deliver keynotes
  • All other duties as assigned.

Knowledge, Skills, and Abilities

  • B.A. or B.S. required;
  • Degree in event planning or marketing preferred.
  • Previous event planning or relevant experience required.
  • Strong project management, customer service and relationship building skills.
  • Ability to manage multiple projects independently
  • Excellent verbal and written communication skills
  • An interest and awareness of current events in business, politics, the economy and sports
  • Ability to work under general supervision and pressure, and must be detail-oriented
