This position serves as administrative and office procedural support to a district law enforcement supervisor. Work involves coordinating a full range of support activities necessary for the efficient operation of the district and management of the district office. Employees in this position have a great deal of contact with the public, both in person and on the telephone, and are typically the first contact that a customer has with the district office. The individual in this position must independently discern the need of the customer and determine which classification of employee will be responsible for responding. The ideal person for this position possesses a base of knowledge concerning the functions of other sections of DMV, as well as other departments of state government, so they may appropriately refer customers.

The individual in this position is also responsible for the appropriate handling of confidential information, both in written and verbal form, and keeping the district law enforcement supervisor informed of issues vital to the district. Reports reflecting the performance of the district and of individual personnel are prepared and forwarded to Bureau headquarters by this employee. Financial matters regarding payroll entry, verification, and approval, as well as expense vouchers are managed by this position. The individual in this position is the initial contact for employees in the district with human resources issues such as health insurance, dental insurance, and changes of address for payroll purposes. The individual in this position must also act in a support capacity for other employees working in the field that need information which must be accessed via computer or other means. General office duties and knowledge are required, such as filing and the use of office machinery, use of Outlook mail, setting schedules using outlook calendar for the management staff within the district office, and use of other Microsoft suite applications (Excel, Word, etc.).

The individual in this position must type memorandums maintain statistical information, complete inventory reports, legal document preparation and status reports, assignment of tasks to personnel as requested by the District Captain or Lieutenant by the most effective form of communication to various locations within the district for investigative or vehicle examinations. The individual in this position must be a team player and take direction from the District Captain, or the Lieutenants within the district.

Knowledge, Skills and Abilities / Competencies

Experience resolving customer issues.

Experience with Microsoft Office using programs such as Access, Word, and Excel.

Experience completing and/or maintaining records and reports.

Experience interpreting and/or explaining policies, procedures, and laws.

Experience with letter writing, using correct spelling, punctuation, and proofreading.

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
