Job Description:

Participate in key areas of the wholesale fuel accounting process to ensure timely and accurate reporting of the general ledger and financial results. Monitor compliance of processes, transactions, and balances. Assist in implementing appropriate accounting policies and procedures.

Essential Functions:

1. Provide oversight and support to the daily wholesale billing function.

2. Control month-end close process of wholesale and retail fuel.

3. Prepare monthly budget to actual analysis.

4. Manage accounts receivable for wholesale operation.

5. Communicate and report to internal and external stakeholders on any billing or pricing issues.

6. Keep up to date on fuel tax requirements and ensure timely reporting of fuel taxes.

7. Assist in the creation and measurement of key industry metrics.

8. Other duties as assigned.

 

Specific Responsibilities:

  • Assist in the preparation of the wholesale and retail fuel monthly and quarterly financial reporting. Ensure that data is accurate and reported properly. Perform analytics to ensure reasonableness of margins.
  • Review, maintain, and update system setup to include tax, freight, and pricing structures.
  • Obtain and maintain working knowledge of carrier and supplier communications, billing, and processing payments.
  • Assist with the daily pricing, invoicing, and billing of fuel customers.
  • Liaise between customers and sales teams with clear and concise communication of any investigations.
  • Responsible for developing in the area of fuel management, supply, logistics, invoice reconciliation and control, as well as oil industry fundamentals.
  • Analyze financial transactions and accounts to determine accuracy and completeness of entries.
  • Analyze fuel pricing contracts with the use of Argus and DTN compared to racking pricing as well as day deals.
  • Assist with the preparation and filing of motor fuel tax returns. Stay current on business fuel tax returns. Stay current on business fuel tax requirements and ensure compliance.
  • Reconcile accounts receivables and manage the accounts receivable aging of a large volume of accounts. Assist with establishing a credit process for customers.
  • Review margins and expenses are within targeted ranges looking for potential misstatements or operational irregularities.
  • Prepare monthly export of fuel sales and taxes and reconcile to GL liabilities for timely filing of fuel taxes.
  • Assist with the development of key performance indicators, financial analytics, and other ad-hoc reports.

Confidentiality:

 

The Senior Fuel Analyst must maintain the absolute highest level of confidentiality, as they have access to confidential and sensitive information regarding the company, its employees, and business partners.

 

Skills:

  • Bachelor’s degree in accounting or finance preferred.
  • Prior wholesale fuel experience preferred.
  • Knowledge of fuel pricing (OPIS, DTN, Argus) preferred.
  • Knowledge of PDI, Intellifuels, and/or Telepoint preferred.
  • Strong reconciliation abilities and a history of working with high volume accounts.
  • Solid Excel skills focused on summarizing, extracting, or comparing large volumes of data.
  • Working knowledge of standard accounting software packages (preferably Microsoft Dynamics BC or Sage Intacct).
  • Excellent communication and problem-solving skills.
  • Motivated self-starter with the ability to work autonomously.
  • Ability to manage multiple tasks and projects.
