Description/Comment:

This role will perform a wide range of administrative duties that will assist the Indianapolis Engineering team in organizing, scheduling, and prioritizing their day-to-day activities. This position is responsible for coordinating business travel, possibly including international travel, and processing/reconciling travel expenses. Calendar management, conference room scheduling, meeting coordination and acting as an information communication conduit are part of the job duties. This position also requires interfacing with internal and external customers, as well as collecting and maintaining accurate data to prepare a variety of reports. Candidate must maintain the highest level of confidentiality and professionalism while preparing, handling, and processing sensitive information. Candidate should be proficient in the use of SharePoint, Outlook, Microsoft Word, Excel and Power Point.

Responsibilities and scope include:

Helping with coordination of on-boarding activities including ordering of IT Assets
Managing/ordering office supplies for the department
Manage and maintain records and due dates for customer and internal requirements
Authorize and maintain visitor requests and escort person
Manage/update department distribution lists and forward communications as needed to the department
Help resolve general questions from the department
Perform responsibilities independently with limited supervision

Required Skills

Ability to prioritize work and multitask efficiently
Able and willing to work overtime when necessary
Experience in meeting scheduling / coordination, managing personal and other's calendars, arranging travel, and preparing expense reports
Proficient with MS Office, O365, Teams, and the Google Suite of products.
Ability to travel within the US if/when needed

Associates Degree or higher
Active Secret clearance
