Great Hearts Online is a virtual classical Academy serving students in Arizona and Texas. Great Hearts OnlineTexasis fully dedicated to the education of over 500 Texas-based students and their families.

Position Summary

The Registrar is an important role within the Great Hearts Online operations team. The Registrar, under the direction of the GHO Texas Operations Manager, will be responsible for the management of Academy records, focused on student information data and daily student attendance/engagement. In partnership with Great Hearts Online leadership and faculty, the Registrar will provide our Academy families exceptional customer service.

Duties and Responsibilities

The Registrar will have roles and responsibilities aligned to the below. This individual will need to embrace the nitty-gritty roll-up-your-sleeves work ethic in a startup environment.

Attendance

● Responsible for the tracking and reporting of daily attendance.

● Responsible for the tracks and enters of daily participation.

● Communicates with families daily regarding attendance.

● Maintains reports and follows-up with faculty and school leadership on the execution of the Attendance process.

● Partners with Operations Manager, Dir. Of Academy Operations, and Academy leadership to address and resolve participation issues daily.

● Reports out on attendance daily including repeat absent students.

● Train faculty and staff on the use of PowerSchool and recording attendance.

● Responsible for escalation and resolution of truancy/low-engagement in accordance with Attendance process.

Recording Keeping

● Responsible for maintaining complete and accurate records on each scholar.

● Responsible for ensuring compliance and appropriate disposition of all records requests withing the required timeframe.

● Responsible for all state reporting in alignment with state compliance requirements.

Customer Services

● Assist with answering GHO Texas phone calls and returning voice messages.

● Assist the Operations Manager with grade-specific communication.

● Assist Operations Manager with items such as packing and shipping Scholar kits, purchase processing and reconciliation, expense reimbursement, etc.

● Assist with community building events.

● Maintain relationships with faculty and families.

● Communicate and engage with families proactively and responsively with a positive tone, clear answers, and quick turnaround.

● Foster a strong customer service focused team.

As a member of the Great Hearts Online Operations team, the Registrar will roll up their sleeves and assist in other key projects and workflows to provide surge capacity as needed. This will likely include executing on the collection, inventorying, labeling, and shipping of materials and hardware.

Qualifications, Competencies, and Strengths

Education and Professional Experience:

● High School Diploma required; Bachelor’s Degree preferred

● At least 1 year of prior Registrar experience, or related experience in an education environment

● At least 1 year of experience in operations, process improvement, project management, technical development, or a related field.

Additional requirements

● Experience with PowerSchool and SchoolMint

● Experience with MS Office and Google Docs

● Be a team member who is passionately committed to K-12 education reform, with a combination of technical knowledge, business acumen and interpersonal skills, but who also works well independently to achieve team goals.

● Ability to travel up to 10% of time

Type of clearance:

Must complete Texas Department of Public Safety fingerprint clearance and background check. Must also successfully complete the Breakthrough coach course.

Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching.
